I am new to the HR field. I have recently joined a consultancy company that is 5 years old and has approximately 30 employees. Being a novice, I am still confused about where and how to start. Please help with the following queries:
1) What are the forms required for the recruitment process?
2) How to manage payroll using Excel?
3) What are the statutory forms and challans required?
4) When to check employees' performance?

Recruitment Process in a Consulting Firm
As you have joined a consulting firm, you do not need to maintain any recruitment form. You can coordinate with your clients when they require manpower. They will send the position through email or verbally, and you can forward candidates' profiles to the client. If you are recruiting for your own organization, you can maintain the manpower requisition form.
Statutory Compliance Requirements
Statutory compliance such as EPF, ESIC, Bonus, and Gratuity is mandatory for any organization with 20 or more employees. However, you must ensure that all employees are eligible as per the coverage of these acts.
Employee Performance Assessment
You can assess your employees' performance at any time - weekly, monthly, quarterly, or yearly. Set targets for closing the maximum number of profiles.

Hi Swati, here are a few suggestions:
1. Establish a Service Record File for each of the 30 employees. The file must include the following documents, which you will need to ask them to bring:
a. Personal CV
b. Aadhar Card copy
c. Pan Card copy
d. Qualification Certificates copy
e. Last work experience Certificate/Relieving letter copy
f. Two recent passport size photographs
g. Proof of current residential address.
(All copies must be verified by you against the originals)
2. Check if payroll has been previously recorded in an Excel sheet. Since the company is 5 years old, it should definitely be available.
3. Ensure that registrations are completed for Statutory Compliance such as PF, ESI, PT, and that all dues are being paid.
4. Build rapport with the staff and assess their motivation levels.
5. Establish an attendance management system or introduce a biometric attendance system. If a biometric system is already in place, request the supplier to provide training on its operation.
6. You can find a payroll format in Excel on Cite HR. Please search for it there.
I hope these suggestions are helpful. Let me know if you need any further assistance.
