Hello, I am working in an NGO as a Senior Executive in the HR & Admin Department. I want to know if an employee applies for an experience certificate during their service period, can we provide them with the certificate? Kindly suggest me regarding this matter.

If your NGO policies allow accepting such requests, then it can be done. However, in most cases, an experience letter is issued based on the demand and requirement of employees in different companies. An experience letter typically includes the date of joining, date of relieving, profile, and other important and concise content. Therefore, it is usually provided at the time of exit or after exit when all amounts, liabilities, company property/assets, and accounts have been settled, and a No Objection Certificate (NOC) has been issued.

According to laws, we can issue an experience letter after an exit interview. In many cases, such as passport applications, bank loans, LPG connections, address proof, and many more social and family affairs, an employee needs a letter of working proof from the employer. In such cases, the employer can issue a letter of working proof only to the employees to fulfill their necessity.

Considerations Before Issuing an Experience Letter

Make hypotheses about the following points before issuing an experience letter:

1. For which position is the employee applying for the experience letter?
2. Does it fall under your company's HR policy?
3. Consider possible ways.
4. Determine the emotional attachment of the employee to the employer.
5. Has the employee been working for a long time? If yes, then obviously, there is more emotional attachment to the employer.
6. As Human Resource professionals, we are more emotionally attached to our employees, and sometimes, if the reason is genuine, we should work beyond the organization's policy to support mankind.
