Addressing Muster Roll Compliance
Through a circular, the company asked employees to sign the muster roll with their time in and out. However, certain employees are not mentioning their in and out times. I have completed one month in the company and cannot take direct action as the senior manager is on medical leave until February for an operation.
What would be an appropriate approach to encourage those employees to consistently mention their time in and out?

Dear Bhardwaj, whether you take any action or not, it is immaterial. Please send an email to everyone and post a circular to that effect on the notice board. This will save you from any unwanted blame-game. If everything is in normal condition, it will surely work and prompt those individuals to sign the Muster Roll.

I had talked with v.p. and have sent circular through e mail. v.p. also concerned and also permit if employee had not sign in muster roll, then put absent for that day. Thank you both.

Such lapses need to be verbally sorted out. The employee shall be verbally warned for the first lapse, and upon repetition, disciplinary proceedings will be initiated. Please start taking a daily late-coming report from the gate as well.

One of the reasons for not mentioning the time in the muster could be that they are not reporting to duty on time. Therefore, monitor the timings, and as Mr. Sharma suggested, the employee can be warned verbally.

You can discuss this matter with your department head and seek permission to send them an email. This is a NOTICE email where you can specify that:
"Until now, it has been allowed three times, but if this happens again, according to the company's HR Policy, it will be considered as half-day leave for you."
I am confident that the situation will improve. Send them a notice three times if they fail to punch in or out, and on the fourth occurrence, send an email regarding their half-day leave.

I think they are not coming to work on time. So, you should remove the register after your shift time starts and keep the register in place just before the shift is coming to an end. Keep a special record there to sign in late-coming and early-leaving employees at your entry gate or at the time office desk. Ensure this record is always available so that you can track the details of late-coming and early-leaving employees. You can even make the signature with the date optional. It will not be an issue for us. You can try this approach once.
