Hi,

I have gone through the content of the letter, but I think it's very lengthy. An apology from the employer is not required in a termination letter. Be precise, just mention, "As per company policy, we are terminating your services with effect from __________." Kindly collect your F & F from the accounts department by submitting a clearance certificate from all concerned departments.

Dear Moushmi,

Sorry, I am asking without knowing the whole incident, but why do you have to issue a termination letter? Ask them to search for a job and in the meantime tell them to submit their resignation.

The word "termination" is used in the case of punitive action and not in the case of restructuring. It will be a bad mark on the career of the employee. If the management insists on issuing letters, then you should term it as "separation due to restructuring" or something similar.

If the issue is still in the W.I.P stage, let me know, I may give you a draft.

This is in continuation of our letter dated _____________, which was sent to your last known address by registered post, calling upon you to submit a written explanation within 48 hours for your continued absence without any intimation. We note with regret that you have neither resumed your duties nor explained the reason for your continued, willful, and unauthorized absence.

As per the terms of your appointment letter dated ______________, it is clearly indicated that an absence for a continuous period of 10 days without prior approval of your superior (including overstaying on leave/training) would result in you losing your lien on the service, and the same shall automatically come to an end without any notice or intimation.

You are hereby informed that you have lost your lien on your service as a ________________________, and it is deemed that you have abandoned the employment of your own accord. The relationship between you and the company has ceased to exist with effect from ___________________.

You may collect your full and final settlement dues, if any, from the Accounts Department.
