We used to give loans to staff in the past. Due to our new decision, we are going to stop this practice.

Request for Memo Template

Can anybody suggest a good memo template to pass this message without hurting the staff?

If your company has a headcount of about 100 or so, there is no need to issue a general memo or circular regarding this matter. Why announce bad news? It will only demotivate such a close-knit small group. Instead, you can politely inform the person making the request.

For larger companies where senior management insists on issuing a memo, you can comply. There's no need to search for a pre-written memo; you can customize your own with a little hands-on effort. Be polite and gentle when crafting your message. You can use the following lines in your memo:

"Management regrets to inform the employees that, due to the current financial situation and liquidity issues, we have decided to defer the granting of loans to staff and employees until the situation improves. Therefore, employees are kindly requested not to submit such requests."
