Dear Shivaraj Sachdeva,
You need to clarify the following in the format:
1. Who will assign the serial number? Will it be assigned by the respective individual (for each individual) or will it be a running serial number throughout the organization for a financial year or calendar year?
2. You have mentioned three aspects relating to time (Time, Time Out, and Time In). What is the significance of the first term "Time" and how is it different from "Time Out" and "Time In"?
3. Who has to check the odometer reading (Starting and Ending Km)? Is it the individual, Security, HOD, HR, or is a mere declaration by the individual sufficient?
4. I fail to understand why a simple local conveyance format should be signed by the individual, security, HOD, and HR department. Finally, you have left out the Finance Department that has to eventually pass the claim. Will four signatures be required for a claim of say Rs. 50/-? Numerous signatures will only delay the processing time.
I am not trying to find fault; I am only trying to reason out the logic. Please remember that anything being introduced for the first time has to be thought through before implementation.
Trust you will appreciate my viewpoint.
