Rajitha .... The documnt forwarded by you is good but I opine that the same is to be distributed in to two. One is only Welcome note :

We are pleased to inform you all that Mr. ________________ is joined us today as ( designation) in our (Unit / Head office - if you have multiple units and Head office / registered office is different from works / manufacturing area) and shall be reporting to _______________.

Mr.______________________ has done his (Higher educational qualification) and joining us with rich experience of ( number of years) in (Department / Section). He worked for companies like ( Names of the companies worked earlier) and prior to joining us he was associated with (Named of the Company).

Mr. _______________________ is married to Mrs.____________________ ( her status if working details of the job/ if not home maker etc) & blessed with (Names of children) and their present status. His hobbies are ---------------------------------.

Request you all to join me in welcoming Mr.------------------------- to ( your company's name) family & wishing him all the very best in his new assignment.

With best wishes,

Name & designation of the signing authority.

The above communication to be forwarded across the organization & positively displayed in all notice boards. Basing on Corporate HR. In case the incumbent is in senior level then it could be the Director / MD etc.

The induction part to be separated and forwarded to the authorities concerned but not to all

Dear Nitaji,

You have thought of a good move. New employees generally get more motivated when they see the efforts the company is taking for their induction. As pointed out earlier by a learned member, the welcome note and induction schedule should be separate.

1) The language of the welcome note should be Natural

2) Avoid flowery language but avoid spelling errors.

3) Do not talk about expectations in welcome note (e.g. in one company they wrote,"To reduce backlog and improve efficiency of X department, we have recruited Mr. ......)

4) language of the welcome note should be motivational tone as if we are welcoming a guest in our own home.

5) Induction schedule can show from at what time he has to report for induction to a particular HOD.

6) Let all notice boards and all HODs receive this welcome note, do not forget the departments which are giving services to employees like Transport, canteen, etc.to avoid any inconvenience to new employee.

7) If you have a policy manual or safety manual, please give a copy of that to the new employee before induction process starts.

Thanks & Regards,
