Hi All, I am working as an HR executive in a startup IT organization. Currently, we have 30 employees working in the Chennai office. At this point, there is no tool maintained for attendance tracking. The technical team is working on developing an ERP system, but it is taking longer than scheduled. Please contribute ideas and views to create an ad-hoc tracking system. It would be of great help if I could get valuable inputs.

A manual method would be preferred since my company is in the process of creating an ERP module for attendance tracking. However, it is getting delayed. Therefore, at this point, it would be helpful if you could provide a method that will simplify keeping track of attendance.

In our company, we are currently using the attached Excel sheet. We utilize "Sheet1" to collect signatures from employees upon entry and exit from the office. Subsequently, we transfer this signed information to record their monthly attendance in the "Attendance" sheet and any overtime hours in the "Overtime" sheet. These records are then used for further processing. We find this method to be quite convenient. Please let us know your thoughts on this approach.

Thank you for the suggestion. However, I must emphasize that my company strongly opposes the idea of maintaining a register for in-time and out-time. Are there any alternative methods for tracking this?

Then you can look for a readily available electronic device in the market, such as a biometric thumb reader or card reader machine, which will be coupled with basic software to maintain attendance. However, it cannot process payroll.

There are many great electronic devices that track, record, and send information to payroll. As yours is a small company, a simple device will suffice. An advanced device will even handle scheduling and allocation too

Further to the different suggestions by our esteemed friends and based on my 26+ years of experience, I would suggest a Swipe Card-based Time & Attendance Management system. Since you have only 30 employees and secondly, since you are already in the process of implementing an ERP, a Biometric or other high-tech system may prove to be expensive and cannot be integrated with your ERP at a later date. Please look for a TAMS that can export the data in Excel format so that once your ERP is operational, this file can be used to calculate payroll and other related activities. There are a few companies in Chennai, such as PACE Automation, which may offer such systems.
