Warning Memo

Management has observed that while you are attending duty, you are not recording your attendance on the Computerized Attendance System by punching your card for In and Out. It is very difficult to mark your presence.

Therefore, you are hereby advised to be punctual and record your attendance on the computerized punching system regularly without fail. Otherwise, management will have no other alternative than to initiate disciplinary action against you.

I feel there is no need to give any letter. Orally, you can warn him about the number of days recorded in the computer by punching, which will be calculated for the salary. See how this will practically clear up your problem.

Dear Mr. XYZ, It has been revealed from our time office records that you have not been bringing your attendance card to the office since [Date]. We regret to inform you that, as per the company's HR policy, employees are required to mark their attendance by punching in with their attendance card. If any employee forgets to bring the attendance card to the office, he/she will be marked absent for that particular day(s).
