Celebrating employee birthdays at the workplace is a good employee engagement initiative. Such acts go a long way in generating loyalty, commitment, and bonding with employees.
There is no specific format for an employee welfare policy. One needs to talk to the employees and get first-hand feedback on their expectations from the organization in terms of high-impact employee engagement initiatives. Additionally, we need to check prevalent industry practices. Based on this, work out a phased plan, gain buy-in from the management, and then introduce the initiatives. Instead of bombarding the organization with a bunch of initiatives, it would be better to roll out one at a time, stabilize it, institutionalize it, and then move on.
Some prevalent practices in this area at the workplace include organizing weekly/monthly parties. In organizations with fewer employees, celebrations often happen on the day of the birthday itself.
To ensure uniform celebrations, it's ideal to fix a predefined amount per birthday. The amount could range from Rs 300 to 1000 per occasion.
As HR professionals, we need to facilitate the process and try to inculcate the spirit of team bonding, wherein the respective teams take the onus of celebrating birthdays for their team members, resulting in better rapport building and team engagement levels.

From your employee data, note the birthdays accordingly. On each person's birthday, order a single rose and keep a common stock of small birthday greeting cards with your company logo. Every morning, let their immediate boss hand over a rose and a card to the birthday person.

Also you can drop a mail to the employee wishing him b’day greetings. And if you have a budget of minimum 1000 Rs as well, you can order a cake and can make them feel special.

If your company does not permit extra costs, what we can do is celebrate birthdays on the last day of the month for all those employees whose birthdays fall in that month. On the birthday, one email from the HR team to all employees should be sent with some brief information about the employee (hobbies, personality, etc.).
