Hi Bhoomika,

This policy could be designed better only after the budget is fixed for it. However, here are some suggestions that you could consider:

- A card (with signatures from all employees) along with a bouquet.

- A gift, depending on the budget.

- A get-together where all employees gather and cut the cake.

- A half-day off on the birthday; this policy gives employees enough time to spend with their family and friends.

- Coupons for shopping, lunch, or dinner with family could be another option.

Also, you could publish the name of the birthday boy/girl on the notice board or intranet, etc.

In our organization, currently, we publish the birthdays of the month and send an email to all on the birthday.

We give away CRY cards and a bouquet; all employees gather and wish the person, and then the birthday girl sings a song or entertains everybody in some way.

It just gives everyone a break from work for a few minutes.

Starting from January 8 onwards, we will introduce a half-day off on an employee's birthday.

Hope all this information will help.

Dear Bhoomika,

Whatever budget/process you decide upon, along with the management, can be documented and published as a policy among the employees.

Hi Bhoomika,

Very well defined by Bhavna. You may add one more thing. Arrange for a birthday cake on the last weekend of the month and celebrate the birthdays of all employees who have fallen in that month.

Bhavna,

Let's say we have a budget of Rs. 20,000 per month. How can we plan a policy? I hope I'm not bothering you, but if you have any sample policies that you can share, it would be of great help.

Hi there!

When designing a Birthday policy, it is crucial to consider the budget, the size of your organization, and the number of people working. For instance, if you plan to allocate Rs 20,000 per month for Birthday Celebrations and have around 50 employees, you can simply allocate Rs 500 for each employee's Birthday Celebration. Every month, you can display a list of upcoming Birthdays on the Company Notice Board so that everyone is aware of the parties scheduled for that month. This can be a great way to have enjoyable get-togethers without taking up much time, maybe just half an hour or 15 minutes before the office closes.

With Rs 500, you can order a cake costing around Rs 250, and the remaining Rs 250 can be spent on three big liters of Pepsi and some wafers. These items can be provided by the employer within the Rs 500 budget. If an employee wishes to host a larger party, they can contribute additional funds for sweets, samosas, patties, etc.

Sending an email greeting or buying a Rs 20 card signed by all employees can also make an employee feel special on their Birthday. The choice between these options depends on the available budget and the number of employees in the organization.

Hi, Line Manager and HR Manager, to share about 10 minutes with the employee over a cup of coffee on their birthday. A birthday card, a pack of toffees, or a gift voucher. Enquire about him/her and the family, their comfort level with the company.

Hi,

You may put up the names of all employees on the notice board whose birthdays fall in the current month. Give them a greeting card on their particular day and cut a big cake at the end of the month if there are any budget constraints.

You may allow the birthday person to go on a half-day.

Take care,
Rahul

Hi,

You can design a birthday policy depending most importantly on the budget available, size of your organization, and number of people working in the organization. You can go ahead and maintain a common display for all the birthdays in the month and celebrate them. The celebration can be done as per the convenience of all. For example, if most of the executives travel frequently, then you can fix a day in the month to celebrate the birthdays in the office, like the last Friday of every month. Celebrate near closing time or club it with the lunch break.

The organization can have a tie-up with 2-3 good restaurants in the city and sponsor dinner for two on the day of the birthday. A combined gift can be presented to the person who is celebrating his/her birthday. This can also be used as an opportunity to show the employees that we care for them. 😊

Hi Bhoomika,

Some simple inputs on birthday celebrations at my workplace:

1. Specially designed birthday card with the signature of the CEO/Department head along with all other colleagues' signatures in it.
2. Birthday wishes letter signed by the CEO.
3. Sweets package.
4. Photo sessions with CEO & other staff and giving him a framed copy of the same.
