Dear Seniors,

Kindly guide me in the following matter. I am working as an HR in a private company for the past nine months. Before I joined here, the company name was different. For example, my company name is "B Pvt Ltd." However, a year ago, the company name was "A." Now, I need to know if I need to provide any letter to the employees who were originally working for the "A" company and are now continuing their employment with "B Pvt Ltd." Please send me the format or a sample letter regarding this matter.

Hi,

Ensure that you communicate via notice board at the entrance and in each department, HODs/TL the information that your company name has changed. Check whether you can provide the reason for the name change, logo, etc., and its impact on trade in turn to employees' social recognition. Notify the importance of changing the stationeries, especially the size, color, and font of the company name/logo, if any. It is good to monitor the changes (systems, stationeries, ID cards, etc.) for the first month to ensure the impact of the change. Also, it is HR's responsibility to orient the employees to the "company name" logic/reasons behind the name, importance of JV if any, details of the logo, etc., and dos and don'ts. There are many steps involved. You don't have a Company Secretary who is supposed to take care of all legal matters. The necessary steps to consider include:

1. Registrar of Companies.
2. Assistant Labour Commissioner.
3. Electricity Board.
4. Pollution - Air & Water.
5. Environmental Clearance.
6. DISH (Factory Inspector).
7. Boiler Inspector.
8. Municipal Authority.
9. Police Authority - Commissioner/SP Local Police.

In addition to what Mr. Soman has written, this is not an exhaustive list; there are more steps to consider.
