Dear Seniors, I am going to join an organization with a strength of almost 50. I have committed during the interview to set up the entire HR department. Kindly guide me on what steps need to be followed? What processes need to be implemented? What compliance needs to be taken care of, which is mandatory for the government for setting up the HR department in the organization? I would appreciate it if you could suggest the time frame and short-term and long-term goals.

You should:

1. Prepare employee identity cards.
2. Register with the PF, ESI (if employees are drawing less than 15,000 gross), and PT departments.
3. Prepare internal rules and regulations which form the basis of the employee handbook.
4. Establish training seminars (if training is provided in your organization).

Hi Amit, I would like to suggest that you get in touch with HR consultants, whether freelancers or consultancies, who are proficient in strategies and policies. Discuss this with your seniors or the relevant person to get them on board. This will assist you at the entry level. Once you understand how to strategize and enhance your knowledge, you can then implement these strategies further within the organization.

Employee Information Preparation

Please prepare the list of employees on your own with all details such as Employee ID, Name, Father/Husband Name, DOB, DOJ, Present Address, Permanent Address, Salary Details, PAN Number, and any other useful information of your choice.

Employee Personal Files

Create employee personal files and check if all documents are available. If not, arrange all the necessary documents like a copy of the offer letter, appointment letter, confirmation letter, increment letters, etc.

Registration and Compliance

If not already registered, proceed with PF Registration and ESI Registration.

Policy Review and Establishment

Review the active company policies. Based on the active policies, establish office policies concerning leave, attendance, absenteeism, conveyance, in and outstation policy, etc.

Training and Development

Develop a chart outlining training and development activities.

Budget and Employee Engagement

Review the budget and draft employee engagement activities, etc.
