Dear Seniors,
One of my friends is working as an HR and Admin Executive. This is her first job. What she is facing is teasing from most of the employees. Every time, a few employees come to her and tease her that admin people are just like peons. The job responsibility of admin people is just the same as that of peons, whether it be dealing with MCD personnel for cleaning or dealing with the office cleaner for office cleaning. I have tried to convince her that it's not like that. Many times, she has complained to her higher management, but the higher management also laughs it off and always says, "Don't worry, the employees are just kidding..."
Please suggest to me what I should say to convince her and also what she should do.

Hi Shweta,
Next time those employees want anything, from a piece of paper to salary sheets, etc., tell them to go ask the office peon. Just tell your friend to take a chill pill and not pay too much attention to those jerks. It clearly shows how ill-mannered they are, and hence there is no point in spoiling her mental peace for them.

No, an admin job is not like a peon's job. Every job has its own respect. Please tell your friend not to be disheartened because it is wrong to underestimate. Ask your friend to explain to other people the responsibilities of both a peon and an admin. Since she is educated, she must be earning more than a peon's salary. Advise her to stay strong because no one has the right to harm someone's self-respect.

Hi,
Next time, if they behave like that, just tell your friend something like this, "Just smile and say, 'I have no problem with this position because you are my senior, and previously, your team also handled this work, so why should I feel bad?'"
Please let me know if you need any further assistance.

This is the major problem as HR is facing issues. If HR faces problems like this, then what will happen with others? You can imagine.
This is a very common thing - pulling each other down. I think your friend is very shameless, so you need to be frank and reply in the same way.
But first, she must avoid these situations and concentrate on her work; otherwise, people will engage in more gossip about her.
She should behave like a professional. If anyone tries to gossip with her, she should avoid it and give a critical smile, showing that she is not interested in such conversations.

Hi,
I think Deepti's advice is good. If a peon does not come, then you cannot get a glass of water perfectly on time at your desk. The toilets will not be clean, the office will not be clean, you won't get stationery, lunch will be delayed, and many other problems will arise. People may laugh, but if the boss is absent for a day, work won't stop as others can manage. However, if the office peon is absent, you will see incomplete tasks. So, next time, appreciate them the same way. Maybe I'm a peon, but you will miss me when I am not there. Even simple tasks like teasing won't be possible. Take this positively and don't ignore their importance.
Thank you.

Dear Shweta,
There can be such problems everywhere in the workplace. It is on us how we handle them. I have seen many people who take everything to heart. I know one of my colleagues; she takes even a small comment seriously and quarrels with everyone. Even when somebody looks at her PC, she gets irritated, questioning their right to peek into her PC.
In this case, I think the management should take it lightly, as she becomes too worried or irritated immediately. Advise her to take it easy and try to handle things in a friendly manner. If she keeps complaining without attempting to solve the issue herself, it will never end. Time will prove her talent and position.
Thank you.

Dear Shweta,
Tell your friend not to give any type of attention and don't show any interest in what they are telling. They will say this for a few more days, after which they will get bored of the same topic and teasing. Why spoil her mood? Just ignore or ask her to take this in a positive way. Don't they know HR & Admin are the backbone of the company? You know many people have a habit of passing comments that can kill a person inside. It's better to ignore them; don't take it seriously any day.
Cheers,
Preeti

Surprisingly, we use the same term 'peon' as well in Malaysia. However, we have already gotten rid of that position. I agree with Deepti's remark. All in all, every career in an organization is equally important - what a big deal?

Hi Shweta,
All this is happening because your friend is taking it seriously, and she is getting affected. Actually, people are enjoying teasing your friend a lot. Ask your friend to take such comments in a very light manner. She should let others know that she is not at all affected by their comments. As long as she is getting irritated, this will keep happening to her. The day she starts taking all this easy, everything will stop.

Hello Shweta,
Simply ask your friend to request those kinds of acquaintances to collect the relevant documents (salary slip, etc.) from the peon if they approach her for it, with a nice smile and the same teasing attitude. There is no need to pay attention to such matters for some ill-mannered people.

Dear Shweta,
Your friend is working as an HR/Admin Executive and she is being teased because she allowed them. Anyway, ask her to distance herself from such persons and try to avoid them. If her seniors are not there to stop this, ask her to confront at least one employee; she will see the difference. Be bold, live, and let others live.

Dear Swetha,
I can understand the type of problems you are facing there. Please advise your friend not to discriminate; let her develop positive thinking. In fact, we should welcome criticism from other employees so that we can improve ourselves and reach our goals. It is the responsibility of the Administrative Personnel to take care of the welfare of employees, and we are fulfilling that duty. Is it the job of a peon?
Mother Teresa dedicated her life to serving the poor and lepers. No one can argue that it is wrong. Our job is service-oriented, and we should be proud to work in HR and Admin.

Hi Shweta,
I think nobody can hurt you until you allow it. If your friend is facing such a problem, it means she has been very friendly with them and always participates in joking; otherwise, why have people started taking her for granted? It's in our hands to maintain self-respect. The moment people start doing this, she should have put a full stop right there, saying, "Let's do the work for which we are paid instead of enjoying foolish and fruitless talks" (giving a very strict gesture). She could have teased them back or participated actively, which is why people have started enjoying it, and now she feels bad about it. This is not only when people tease you but whenever people take you for granted, stop it right there. Do not wait for an extreme point or level of tolerance.

This is a senseless question.
Your mother in the house purchase vegetables; Negotiate with different vendors (milk, newspaper, telephone, gardener etc); also handle the cleaning of house and cooking…is she also the peon of your house. Peons do not negotiate. Peons do not have much idea about quality of stuff. Generally, peons do to have much knowledge as what is good for the company / house and what is not. They just do what they are asked to do. They cannot even think on their own. They move files and documents from one place to another. Ask your friend…is this she is doing in her office? If not, then she has nothing to feel down and sad.
Thanks and Regards

Dear Friend,
Basically, administration is a thankless job and equally as important as any other function. Your friend should feel pity for the mentality of the people teasing her with such remarks. The simple thing to remember is that a peon cannot make or influence any decisions regarding the administrative issues of the organization, which she, as an administrator, can. Admin is not at all similar to a peon.

My dear friend, it's all about the positive attitude.
I have been working in Administration for 9 years, and it's the most enjoyable work for me. In short, it's a "NASHA" for me. There is no way you can convince your friend until she convinces herself. I have also seen such situations where people think it's a low-profile job, but it's only in their thinking, not in their actions. Very professionally, she should start addressing people who are damaging company property by spitting, not keeping their desks clean, wasting stationery, smoking, not working during working hours, etc. There are many situational aspects to consider.
An administration person should be tough enough to handle such situations because they not only face internal issues but also have to deal with external matters like interacting with civic authorities, police, municipal, labor officers, electricity board officials, etc.
The bottom line is, you need to be tough, and such instances should not bother us at all.
Keep smiling, bye.
Take care.

Dear Shwetha,
An admin job is not an easy task. Keeping everything in the appropriate place at the right time is a challenging responsibility that one can truly understand only through experience. Tell your friend to be there and fight against all this nonsense. Keep a record of all complaints and other issues in written form. When it goes over the limit, file a complaint with the relevant employee grievances agencies because no one should harass an employee in this manner. Let them know I will file a formal complaint against all of you. I believe everyone will start behaving appropriately. Write to your top management to take the necessary steps; otherwise, I will not tolerate any misconduct, regardless of position or title.
Always remember, if you are capable, honest, and hardworking, there are plenty of job opportunities waiting for you.
Always strive to be an expert in your job profile.

Dear Shweta,
HR and Admin are the shock absorbers for the top management. They are the people who know the ideas and plans of the top management and are also responsible for executing them. In this maneuver, all credit goes to the top management, and the shock comes to HR. HR and Admin are also responsible for imposing rules and regulations and ensuring discipline in the organization. Do you know how many employees feel happy to follow these rules, regulations, and discipline? All of this leads to frustration among some employees, and they start teasing fresh HR executives by using insulting and abusive language. Such employees are less exposed to the corporate culture and require counseling by the HR department. So, call them and counsel them.

Swetha Ji,
Comments always help us learn towards perfection and bring professionalism. Take them in a positive light and make others realize that they depend on your help when a situation arises.
It is my advice that you love your job, believe that you are working for the company, and your results are most useful for the company as well as all other employees. Life is always like this; we should have boldness to face and manage people. Only HR/Admin/IR have the tact and skill to handle employees; others have to learn from us.
Be brave and daring to face challenges; you will always win and find success through your best efforts at work. Do not care about wrong or personalized comments that may disturb you. Your focus should be on improvement and skill development. Continuous improvements will help others understand and realize the important role you play.
Hope this is clear.

Hi all,
Every job has its importance and value, even if it is of a sweeper. Go back to your hygiene theory of motivation and explain to them what happens if a sweeper or peon does not show up for a few days; they will be swimming in their own filth.
An admin is the most important part of any organization. Life in an organization without admin, in any form and managed by anyone, does not diminish its importance at all.
So next time when they tease you, explain that even your father and mother, who cleaned up after you or supported you by doing admin work, does that make them a sweeper or peon?
Cheers

Dear Shewta,
Almost everybody expressed the same view; don't take this issue seriously. Just remember or tell her, once we move out from home, many things we have to face, and we should be ready for all these kinds of things. No one is perfect. I think your friend is giving more importance to such unproductive issues.
I will share one incident with you guys. I am also working in a MNC, which is a very big organization in the world. I am working as an HR and Admin officer there. One of my jobs is to take care of the food arrangements in the meetings, sometimes even in the late evenings. You know the comments I have received from our so-called colleagues, "She wants to make a good impression on the superiors, that's why she is doing all these (so-called peon duties) and staying back, etc."
I just informed my boss (he is the super boss to everybody). He said, "This is nothing but crab mentality. It clearly shows their mental status does not align with their words. We know who you are, how sincere and hardworking you are. So just forget it."
So my advice to her: Just forget it. Maybe it is irrelevant here, but still, in the workplace, there are no close friends, only colleagues.

When people need help from admin, ignore them. Don't assist them immediately. When I went for an interview for an Admin Assistant position, the senior HR person told me that admin personnel are often overlooked when everything is running smoothly. However, they are needed when issues arise. Let your friend know that we, as members of the admin team, contribute to the smooth operation of the office. Be proud of our role in Admin. Don't feel bad about it. Ignore those who have a narrow mindset.

You are absolutely right. Yes, I agree with you that some senior people are not aware of the admin duties and responsibilities. They think it is a very easy task, like booking tickets, arranging the car, and accommodations, etc. However, they are not aware of the level of care required for these tasks due to a lack of knowledge.
Thank you.

A village (Potter used to make pots and planters. He would go to a nearby town to sell his wares. He had a donkey on whose back he would load the pots, etc.)
(Diwali was fast approaching, so the potter decided to make some statues of Lord Ganesha and Goddess Lakshmi to sell in town. He made some beautiful statues and painted them in bright colors. He then loaded them onto the back of his donkey and set off towards the city.)
(On the way, he crossed many people. They would invariably fold their hands and bow to the statues of Ganesha and Lakshmi. By the time they reached the city, many people had bowed their heads before the deities.)
(They reached the exhibition ground where the artisans could exhibit their things. Soon, the potter was able to sell his statues for a good sum. He was pleased indeed.)
(The potter took his donkey by the muzzle and set off on the road leading back to the village. Every time they would cross anyone, the donkey would stop and preen himself prettily as if he were a model. But what was the matter? No one seemed to as much as glance at him. Why were people not bowing their heads before him anymore? Desperate to catch their attention, the donkey started to bray louder and louder.)
(Hee-haw, hee-haw! He went on. The passersby started pelting stones at him in annoyance. The potter was bewildered too.)
(The poor donkey had thought that everyone was bowing to him, little realizing that their reverence was directed to the idols of God tied to his back and not to him.)
(Many of us make this mistake. A person occupying a seat of power often finds people saluting him. If he thinks that the salutations are in his honor, he is living in a fool's paradise like the donkey in the story.)
(The respect is given to the chair and not to the person occupying it. As soon as he steps down from the position, the people around him vanish.)
(Frogs croak only when it rains. As soon as the rain stops, they vanish.)

Dear Shweta,
First of all, tell your friends that none of the jobs are small or big. I would advise you that Ms. Deepthi's suggestion is too good. Tell her to be point blank when next time her staff asks her something referring to her or comparing her job to a peon's job. She must tell them smilingly that, "Please don't say so." Tell her that she should work with dignity. If administrative employees won't be there, then any organization functions like a football team without a captain or an orchestra being played without guidance. Do you get what I mean? There would be chaos and confusion. It's only because of administrative employees that all employees of any organization can function smoothly. Administrative people are so strong that they take problems of others and solve them. So, the importance of admin and HR can't be ignored at any cost.
So, please tell your friend that, "Do your best and leave the rest."

There are many such problems in such working places. If colleagues tease her, then tell them, "Yes, the work of a peon and an admin is the same." Just as the peon cleans and dusts the office, the admin also cleans and dusts the office, rubbing out the unusual/ill-minded elements. So, beware of me. I'll clean you first because the work of a peon and an admin is the same.

Why the peon is pulled here? Is it a nasty position in the office with no dignity at all? Everyone is a peon to somebody when we serve others.

Hi,
This is quite funny, as this is her first job she may have taken to heart. That is all. There are quite a few areas wherein only admin person can be helpful. It is not easy to deal with politicians.
Understand the fact of why military people are in this. The admin job is multitasking; very few can be the master of the game. Let me know what vertical she is in? I may have something for her.

Hi,
Apart from your designation as in charge of Admin, you are acting in the best interest of the organization and the employees. Therefore, do not worry too much about it. Also, you should make them aware of the importance of the Admin job by ensuring timely provision of required resources, unless the situation is urgent.
Thank you.

Dear Biju Nair,
I am currently working in a multinational company in Qatar. I started at the company as an Admin/HR Assistant. After completing two years of my initial contract last year, I was promoted to Senior HR/Admin Assistant. My job responsibilities include various tasks such as recruitment from different countries, license conversions for drivers, coordinating medical examinations, managing CID fingerprinting, handling accidents, managing stationary supplies, renewing residence permits, updating Oracle systems, and many more.
I want to highlight that during my initial three months, I was solely focused on filing and photocopying tasks. This job is not merely about menial work; it requires individuals from all levels to cooperate and respect the role. If someone makes negative comments, it's crucial to remain composed and remember that your hard work will pay off in the long run. If you find the job challenging, it might be best to consider a different career path.
Best regards,
Biju Nair

Circulate the following story and then everyone will understand:
Old schoolbook story on Cross Functional Awareness
A farmer who regarded his job as highly valuable in running the family, considered his wife’s role as menial. On his constant taunting by him, instead of arguing without any proof, the wife offered to exchange of roles till either of them accepted the others point of view.
The earlier story was as follows:
The farmer’s wife would get up early in the morning and start finishing the morning chores deftly. She would prepare tea for the farmer, make ready his Babul brush, and fill up a jar of water for him to wash his face and mouth and then wake him up. He would wake up when she had made three or four attempts. She will quickly prepare food for which he would take away with him when he went to the farm.
Once the husband went to farm, she would take up other daily chores like getting water from the well, milching the cows and buffaloes, making whey and butter out of curds made from milk and deliver milk to her customers.
Then her small children would get up and had to be cleaned, bathed and fed before they were made ready to go to school. By the time she finished all this, it would be noon and she would have a short siesta after lunch. She would get up and start working again on evening activities. Once in a while she would grind the grains to augment stock of flour. She would start preparing evening meal and some eatables for children who would return from school in early evening. She would get ready water and fresh clothes so that her husband can take a refreshing bath when he returned from farm. Before sunset she had to clean and fill up lanterns to provide light at night. When the herd returned from grazing she had to secure them in their places, feed them and then milch cows and buffaloes. After providing dinner to her husband and children, she could go to bed after cleaning the utensils.
The challenge story:
Since the first to wake up in the family anyway, was the wife she had no trouble getting up and getting ready on time. Being a farmer’s daughter and wife she had no trouble harnessing the bullocks and drive away to the farm. She had cooked her own lunch as a precaution. She found working in open field in sun some what tenuous but not impossible. At home, since the husband had never awakened on his own, he awoke only when the sun had gone up in the sky. He was habituated to having everything ready for him when he woke up. Now that he had to fend for himself, he floundered. He could not lay hands on Babul brush nor could he find the jug to fill up water for his use. Somehow he finished this activity and wanted to have tea. He tried to light up the hearth but did not know how to go about it. The kitchen was filled up with smoke due to improper burning of wood and he started coughing and was breathless. Somehow he managed to make tea and went out and barely took a sip when the children woke up and started bawling for their mother. He had a hard time cleaning, bathing and feeding them. He almost blew his top due to simultaneous cacophony of children who wanted something or the other which he could not provide. With great effort he succeeded in getting them ready and dispatching them to school.
Once the children were gone he suddenly realised that he had not eaten anything since morning and he did not have anything ready to eat. He once again went through the ordeal of lighting the hearth and faced more smoke than heat. Somehow he managed to prepare some modicum of lunch. In the very first bite he winced at the bad taste and regretted at not having tasty food prepared by his wife. When he lay down for afternoon siesta his stomach was virtually empty, his body was aching and he had a severe headache.
In the early evening the children came from school and started hollering for snacks. He did not know where things were stored and had hard time keeping them under control till his wife returned from farm. The wife tauntingly said, “Array, will you give me a glass of water? I am so tired.” The farmer was pissed off but kept a tightlipped silence. The wife smilingly went about the chores that he was supposed to carry out as per the challenge.
Moral of the Story
Due to the male ego of the farmer the tragedy continued for a week before he lost steam and sheepishly accepted the defeat. He learned the lesson of the “cross functional awareness and appreciation” the hard way. Let us not go through the trials and tribulations before we learn the lesson.
Role Reversal taught him to appreciate his Wife’s Point of View. So let us not learn the hard way like the farmer!

Hi,
Please note that an administrative person is like a City Magistrate or a Collector, and all the government machinery like police, MCD, and other various government functionaries report to the Administrative Head. Now, you could imagine how powerful this position is, but the key factor is how you perceive your role and how others perceive you. I have observed in some companies that the Administrative Person holds the top position among all other roles in big companies.
I hope the above information helps you understand the power of administration.

I fully agree with Deepthi's comment but on a personal basis, Administration and HR are two separate roles. (Please correct me if I am wrong.) So one has to be strict yet manage everyone, which is quite a challenging task if higher management does not seem to cooperate.

Hi,
The office admin role is really powerful in a company. It's not just any role; in some companies, it's akin to a managerial position. I have worked as an office admin in a private limited company for the past 3 years. I even had the authority to question my senior manager if he arrived late, as I was responsible for attendance and payroll. Everyone in my company used to send their leave requests to me for approval.
Regarding facilities, the admin should ensure the provision of good quality in various areas. This includes well-maintained toilets, restrooms, and overall cleanliness of the office premises. The office admin is responsible for taking care of individual employees by ensuring good workstations, phone facilities, computers, etc.
Tell your friend to relax and take it easy.
Cheers!
