The following documents are essential:
letter of resignation from the employee
acceptance letter from the employer indicating the date of relieving
settlement of accounts, duly acknowledged by the employee.
details of payment made towards full and final settlement ( cheque number, amount, name of the bank and the branch on which the chequue is drawn

Dear Pawan,
Before doing the final clearance of any Employe it should ensure that the person who is resigning submitted his resignation letter signed by him as well as the signature of his Head of the Department which mentioning the date of clearance.also check he he is serving the notice peiod as per the compnay policy.Also check did he avail any leave in advance.Also ensure that all the items which company provided for him should be returend.

- first get the resignation letter,and stop him salary for that month.
- you have to get No dues certificate of exit employee from head of the dept.
- you have to clear Leaves (Enchasment)
- prepare F& F based on rules of Company after that give it to accounts dept.

After getting the Resignation letter from the employee, have a word with the respective department head whether he or she is interested to retain the employee or not
if the results is positive, fix a day with the resigned employee to have a personal discussion and try to retain
If the results is negative pls follow the below procedure
After the personal discussion if the employee feel not happy and need to quit then follow the procedure
1. Check with the appointment order for notice period
2. Do not handover any task which is very important
3. Ask to fill the Exit application
4. Get the NOC clearance
5. Inform the date of reliving
