Seeking Advice on Enhancing Professionalism in the Workplace
I am working as an HR Executive in an IT company with over 20 employees, and there are three teams: the Mobile Application Development team, the Web Development team, and the BPO team. Due to a lack of professionalism by the BPO team, other employees are disturbed and are also influenced by BPO employees. Please suggest how I can bring professionalism to my office.
Thanks!

Dear Mandeep, could you be kind enough to share what kind of professionalism you expect from your employees to replace your current work culture? Have you ever approached your superior for productive discussions?

I imagine the kind of position you find yourself in; it would help if you were more specific. However, you could begin by studying and understanding your company's mission and vision statements to give you direction. Then, help develop or reshape your company's core values geared towards a distinctive organizational culture emphasizing critical behavioral competencies like interpersonal relations, teamwork, communication skills, learning, empathy, etc.
I believe professionalism, generally, is closely related to a company's organizational culture and clearly set goals, as well as employees getting to clearly know what the organization expects of them.

Bring Professionalism in My Office - You can start with the basic norms of any organization. Some of these include reporting to duty punctually (always), knowing the organization's policies, rules, and regulations, and adhering to the processes formulated for routine work.
For example, for HR, there should be a salary process detailing the start date (when the monthly attendance is closed for the salary) up to the finishing date (when the salary is credited to the employee's account). When the salary is given to the employee on the fixed date, any employee will say that HR in their company is 'professional'. The same applies to external vendors—when they are paid for their services on the promised date, they will comment that the organization is 'professional'.
If these are not in place for following, then any outsiders (and insiders) will have the opinion that this organization (or department) is 'not professional'.

The Importance of a Defined Salary Process
As an HR professional, there should be a salary process that specifies the start date (when the monthly attendance is closed for salary calculation) up to the finishing date (when the salary is credited to the employee's account). When employees receive their salary on the scheduled date, they are likely to perceive the HR department in their company as 'professional'. The same applies to external vendors—if they are paid for their services on the agreed-upon date, they will regard the organization as 'professional'.
If these processes are not in place, both internal and external stakeholders may form the opinion that the organization or department is 'not professional'.

Every professionalism starts with the values of the organization. Every organization has a manual designed for their entity. The HR manual should include all these values of the organization, and every new employee should receive values and behavior training as part of their induction program. This helps the organization maintain its standards consistently.
Design your values and present them to all employees, stating that everyone must adhere to the organization's norms. I believe this approach would help standardize your operations.

Clarifying the Issue of Lack of Professionalism
Thanks for your suggestions. I want to clarify the issue of "Lack of Professionalism." In my office, the BPO Team consists of data operators, and this team was the first team when my company started. This team prefers a very informal atmosphere in the office in terms of dress code and the way of talking to seniors and peers. They make noise while working, such as listening to and singing songs and passing comments on everyone. On the other hand, other teams prefer a formal atmosphere in the office.
I hope this clarifies my issue. Please suggest solutions to this problem.

To have such a professional atmosphere, we need to bring everyone on the same page. As HR, we need to initiate policies for the required working atmosphere and implement them, emphasizing practicing the same across the organization by every individual in line with the top management decisions.

Have a Values & Behaviors Manual in place and ensure that everyone follows it. This will help maintain professionalism in the workplace and in personal interactions. Take the time to carefully craft the manual, addressing any potential loopholes. Consider conducting a classroom session for all associates initially to enforce the guidelines. Subsequently, include the manual in the induction class for all new joiners to ensure adherence to the rules from day one.
