Hi friends, I need your help. I am new in my HR Executive job, and I have to give an appointment letter to employees who joined us three months ago. The query is, what date should I mention at the top of the appointment letter - the date of joining or the date when I issued the appointment letter?

In that case, you are giving them a backdated appointment letter, so you should mention the date three days before their joining.

For example, if Mr. X joined on 27th July 2011, then the date will be 24th July 2011.

I think you can use the current date at the top of the Appointment Letter. However, you should mention the original joining date of the particular employee in the Appointment Letter. For example: "Your appointment commenced from ...........".

You can mention the current date in the employment contract and include the clause, "Your date of joining will be with effect from [Actual Date of Joining]." If any terms change, you may issue an addendum to employees.

Rajesh has truly said, "Follow the same." But tell me, what have you done with other things like PF & ESI? The company has to follow the Government norms as well.
