This is Sreekanth, working as an Executive-HR for a private limited company. I am based in the Head Office in Hyderabad. We have our HR Head as the authorized person. My question is, do we need an authorized person for PF at company branches as well, or can we directly manage their PF transactions from the Head Office.

If your branch offices have separate PF codes from RPFC and they are remitting PF contributions and submitting returns separately for branch employees only, it is advisable that someone from the branch office should be made an authorized signatory for PF matters for the branch.
However, if your company operates centrally from the HO for all PF matters under one PF code, then there is no need for an authorized signatory from the branches. An official of the company who is already registered with RPFC as an authorized signatory can authorize another official of the company as an authorized signatory by writing a letter and endorsing the name and signature of the new authorized official of the company.

If your office is operating with only one PA code (without any subcode), a person authorized by your company can transact business such as signing Form 5, Form 10, and other documents. It is better to have a single PA code without subcodes so that effective control over PF matters is possible.

If all the employees' PF deduction takes place from the Head Office PF number, then you do not need another authorized signatory. However, if you have a separate regional office PF number, then you need to submit the name of the signatory authority.

The names of the authorized signatory/signatories should be given to the EPF office. Only those individuals will be signing the PF forms. The company can include more than one person as authorized to sign the PF forms, but only one person's signature is required on the PF forms.
