Dear All,
In our company, we have created an HR portal, i require some sample or snapshots of how the HR policies look (not employee hand book), how the birthday wishes, anniversary wishes are conveyed etc.
Require all your ideas in this regard.

Please find my inputs as shared below:
  • The employee handbook needs to be uploaded as a PDF file which is locked for editing . This file can be opened in the intranet , but should not have the download option.
  • The birthdays are generally offered as a widget , either as words running on the top tool bar of your intranet page or you may create a separate page for wishes including birthdays, anniversaries, promotion, education/certification completion. Here you may add the pic of the employee with the wish . it creates a very meaningful visibility for them.

Hi Friend,

1. Employee Wishes : You can introduce a scroll bar on the left side of your application. All employees Birthdays / Anniversary / announcements / achievements / rewards etc.. can be scrolled as a bulletin.

(or)

Ask your developer to link it in such a way that after you enter the respective employee birthday / Anniversary in his employee record it automatically triggers an pre-recorded email to his id and cc to the other employees of your company on that particular day.


2. Policies : I feel its better you upload individual policy rather than dumping it all in a single pdf. You can split policies into 2 categories : Employee Benefits and Company Policy.

Employee can only view the policy whereas admin has the rights to modify it. This way employee gets a chance and clear view of all the policies of their company as well as it becomes easy for them to go through it. Make sure that employee can neither copy nor can download the policy.

3. Employee record : This for HR use. Every employee should have a seperate record that covers all the needed information of the employee. Such as Employee ID / First Name / Last Name / Middle Name / DOJ / Date of Birth / Designation / Department / Bank Account number / Bank Name / Password / Employee type / Confirmation date / Pay Mode / Father's Name and Occupation / Mother's Name and Ocuupation / Marital Status / Marriage Date / Spouse Name and Occupation / Spouse DOB / Native place / Child 1 & 2 History / Address for communication / Permanent Address / Mobile number / Emergency Contact number / Email id / Gender / Pan No. / Passport No. / Place of issue / Date of issue / Expiry date / Countries worked / Extra curricular activities / Last worked companies / Comments given during interview process / latest profile / Employee Active : Yes (or) No / Language skills / Blood Group / Height / Weight / Health issues if any / Physical disability etc..

4. Leave History : HR / Admin credits the allocated leave for the employee for the respective year. Employee can view the number of leaves allocated to them / Carried forwarded leave.

5. Forms : It consists of both Leave and Permission form. If it is a leave form it consists of Total leave details + Availed leave for this year. Leave required - No. of days / Date / Leave Mode / Reason / Apply.

Permission form consists of Date / Time / Total hours / Reason and Apply.

6. Status : Here employee can view their leave and permission status.

For leave status it consists of S.No / Days / From / To / Leave Mode / Reason / Status / Remarks.
For Permission status it consists of S.No / Date / From time / To time / Hours / Reason / Status / Remarks.

7. Holiday List : It displays all the paid holidays declared the company.It consists of S.No / List of Holidays / Date and Day.

8. Time sheet : Here employee can update their daily tasks. Here employee has to choose his employee code / Department / From date / To date / Number of hours worked / Tasks contributed / Sumit. HR can download all employees timesheet if needed.

9. Payroll and Payslip : Whenever HR runs the payroll and automated generated payslip gets displayed in the payslip menu of the Application. Employee can download their payslips from the application.

10. Circular : HR can send circulars to all the employees from the application. This page consists of From email id / Subject / Content / Send.

11. Bulletin : HR can choose the content that they want to scroll on the left page of the home page. Whatever typed in the bulletin column the same gets scrolled in the home page.

12. Suggestions : Employee can send their feedback and suggestions on how to make the application even more user friendly / Bugs that need to be fixed / New implementations etc..

Hope this is of some use to you. Please suggest me if you have any more ideas. I just gave out that ran in my mind.
