I would like to know the importance of using ID cards in an IT and non-IT company. :huh: In my office, many of the staff are not using the ID cards. When he/she is asked to wear the ID cards, they are counter-questioning what is the use of wearing an ID card in the company. Some of the staff who recently joined our company are from IBS and Accenture. When those people who come from such a professional company ask such questions, I really feel pity for them. :( So please HR's help me out. :huh:

When we talk about professionalism, everything comes into play starting from the dress code, behavior, attitude, and also the ID cards. Moreover, in our company, it is a must for us to use ID cards, and the reason for that is the delegates or the customers who come from outside to visit our campus.
Most of the external people will not ask about the person's name; instead, they peep into the ID card. That is how it works. When people don't listen to us, then we should make them listen. For example, if you attach the ID card with the access card, then it is a must for them to carry that, at least to swipe attendance and to check in their in and out timings.

Different ID tags are assigned according to the job profiles in the organization; for example, Visitors' ID Cards are tagged with RED Colour, Employee ID cards with Blue colour, and Security and housekeeping personnel with Yellow color. These three categories of people stay in the organization, so we can easily identify the person based on the tags. Another example is that if employees stay in the office late into the night, the police may interrogate them on their return in the late hours, where an ID card serves as proof of engagement in office works. Employee ID cards are mostly useful for opening bank accounts, getting mobile connections, etc., where the ID card holds significant power in marketing the organization.

My advice is Change your security Gaurd for one week.New gaurd will not Entertain these employees untill they will not wear or bring ID to Show him.

The problem which you are facing is the same with our organization's people. In every company, whether big or small, there exist such types of individuals who find mental satisfaction while breaking rules. What we tell them is that it shows their professional approach and belongingness to the company. Moreover, it helps in image building as well. As prevailing in our company, we impose a nominal fine on a per day basis for persons who do not abide by such practices.

Apart from security/access reasons, an ID card also creates a bond between the organization and employees, as well as among employees. It helps to foster a sense of belongingness and team spirit. Employees should feel proud to wear their ID card.
If your organization believes in the above points, then you can enforce the proper procedures regarding the issuance of ID cards and make wearing them compulsory.
The first step towards this is to document the entire process and related policies/rules. This will include the process for issuing ID cards, types of ID cards, rules making it compulsory to wear the ID card, penalties in case of violations, and the process in case a duplicate ID card needs to be issued, etc.
After properly drafting the process/rules/policy, get it vetted/approved by your management and implement it. Publish/circulate it among all employees and make it a part of your induction program for new recruits.
If you do all of the above in a professional manner, then you will probably not encounter any problems.

Creating, implementing, and reviewing policies and systems are key functions of HR. You have enough data to create an ID policy for the company. It's like a company product given at the time of joining with an objective and taken back at the time of separation. A well-drafted policy will help create acceptance. Also, see if everyone, including top management, is following the rules. It helps in getting it reinforced.

Please accept my advice as a senior colleague. I hope you won't mind it. Do not expect ready-made solutions to each problem. As a professional, you will have to understand and analyze the problem, give a lot of thought to it, find out possible solutions, and carefully implement the correct solution, knowing well the pros and cons. Others may give you many solutions, many of which will be just pieces of information thrown at you without much thought. You will have to choose the correct solution, adopt it considering the situations and realities at your workplace, best known to you. Please do not expect to have everything readily available on a platter. There are no free lunches; you will have to think, work hard, and come up with a practical solution. Please do not get into the copy and paste culture.
Anyway, I am further elaborating on how to write a policy. You may think over the structure and the contents and come up with a well-thought-out policy. I hope you will be making a good beginning by writing a simple ID Card Policy and will go on to write many more HR policies of a more complex nature.
