Hi All, I have requested a name change in the joint declaration form with my current employer, and it is still pending approval. They mentioned that it will take some time to approve, but I have a joining date next week. My new HR is pushing hard to get this issue resolved. I am worried: will they revoke my offer letter if this is not sorted out within the next week? This situation is causing me a lot of stress.

The HR department will not or should not revoke the offer solely based on a wrong entry made by the employer in the PF portal. However, every HR professional prefers to have their records accurate and matching with the PF portal. They can proceed with the joining process and later correct the name in the PF portal in due course. If the payroll rejects the entry at the time of contribution payment, they will be responsible. Therefore, the person onboarding the employee will ensure that the name matches the certificate and is reflected on government sites like PF/ESI, Income Tax, etc.

In order to avoid an unpleasant situation, you should personally visit the EPFO office and meet the officer in the technical/IT cell to resolve the issue. If the front office or PRO's office staff, who are the first point of contact for members and employers, are not cooperative (as they often are not), you need to request permission to meet the IT person. Explain that you have a very good offer, and failing to join would cause you irreparable loss, and manage the situation accordingly. Therefore, take it as your responsibility, even though your name was entered incorrectly by the employer.

If you have a UAN, the new employer should not have any problem getting you on board. Joint declaration is an issue of correction in employee details as per Aadhar. You should be in a position to convince your new HR of the changes made with proof of your application with EPF.

Joint declaration approval is final if accepted by EPF. If the employer fails to approve within 60 days, it would be their failure. You can visit the EPF office separately for this.
