All consultants/HR recruiters,
Can anyone please tell me how a recruiter maintains and searches from a database of resumes (not online platforms like Naukri, Monster, etc.)? I am referring to the resumes received by the consultancy. How should one maintain a database of resumes? Is there any ready-made software for this purpose, or have you customized something in Excel and MS Access? Is there any coding for easy searching by keyword in the database to avoid repetition of the same resume, etc.?

Also, if this is not the relevant section for my post, please suggest where I should post my topic. As there are many sections here, I am not exactly sure where to post. This section seemed the most relevant to my query, so I posted it.

Hi,
If you have programs such as ACT! or Microsoft Outlook, you can categorize your contacts. There is a file associated with each contact where you can enter particulars such as RF Engineer - John Smith. You can also upload resumes and format them with your company letterhead. This feature is especially useful on ACT! as it provides different tabs for organizing this information.
Furthermore, you can print out resumes and categorize them in your file cabinet. When you need a candidate for a specific position, you can easily access your files and search through them first before considering new resumes.

What is ACT!? Could you please provide the download link for it? Currently, I have some urgent work and would appreciate someone's help with this project. It's more of a fun experiment to see if we can manage it at home rather than seeking external consultancy for small tasks. Why not customize our software if our business is small? That is the main motive behind starting all these posts.

I have read all the posts on this topic previously as well. Your idea seems to be really good. I didn't understand the concept of mailing the documents to a separate ID and retrieving it from there. Kindly explain that to me.

Separate ID is necessary because in the database, the information we receive is highly systematic. Candidates often submit their resumes without proper formatting or subject lines. Therefore, it serves as a quality check process where necessary adjustments are made for our convenience before forwarding it to the special ID. This information is then downloaded in Outlook Express as part of the database.
