Hi All, can anyone help me out with forms or any system to be followed for the employees who disclose their salary and salary increment to their colleagues? In that case, it really becomes difficult to manage the people whose salaries are increased less. However, due to this confidentiality matter, the scenario becomes worse for HR people.

Seeking Suggestions and Forms

Kindly help me out with your suggestions and forms that we can issue to the employees who create this kind of issue in the company. Looking forward to your support.

Please be realistic. However much HR or management wishes or takes maximum precautions, you can't avoid such situations. By getting employees to sign any documents, you are only prohibiting the sharing/disclosing of such information—you can't pre-empt or avoid such situations altogether.

Even if you confront an employee with such an action, it will be tough to prove it—to enable you to take any action, as per the agreement. And even if you manage to find evidence and confront the individual and take action, please rest assured that employees will find other ways of indulging in such behavior. That's human nature.

However, you do have a point when you mentioned 'it becomes difficult to manage the people whose salaries are increased less.' The only way for you, and the one that's in your hands, is to handle the appraisal process in a fair and transparent manner—focusing on the individual's performance parameters and the progress made in a given period of time. Once you have such mechanisms/procedures in place, you would be able to handle any such situations—which are bound to occur, whether we like it or not—by arguing with the employee on his/her performance parameters and taking the focus of any argument away from what others earned.

That definitely is a tough call—after all, that's the core of the performance evaluation system in any organization—but yet can be achieved with effort.

As mentioned in previous posts by members, salary disclosure is inevitable in any environment. We must accept this reality. As TS suggested, transparency in appraisals can help reduce such issues.

Handling Salary Confidentiality in the Workplace

In the case of general increments, it would be difficult for employees to maintain confidentiality. If the increments are for specific cases, the HR team could ask the employee personally to keep the information confidential.
