Dear All,

This is Ruth. I need your help as I'm working in GRGROUP as an Admin & HR. We are celebrating our 5th anniversary, and I seek your help. I am the host and need to schedule the program from start to end. I also need to prepare the welcome speech for the clients and chief guest. For the candlelight, which song should be chosen?

Other items on the agenda include the Proprietor's speech, entertainment (the program will be very dignified, so what kind of dances should be included?), vote of thanks, and inviting guests for dinner.

Can any of you help in this regard?

Hi Ruth,

First of all, you must have a broad timeline for the program. I presume it is an evening function for around 2-3 hours, excluding dinner. It is also important to estimate the number of attendees and their involvement in the program. Do staff members also participate in the events, or is it a mix of staff and professional entertainers?

Now, make a timetable of 15-minute intervals and try to fill in the slots. The standard sequence would include:

- The host or hostess welcomes the guests
- A prayer song and dance
- Lighting of the lamp
- A formal welcome of the chief guest and the invitees
- Welcome dance on a theme
- A background update about the celebrations
- A group dance to keep in sync with the theme
- This could be followed by some musical items
- Introduce the Chief Guest
- Felicitate the Chief Guest
- If there are awards to be given, give them at the hands of the chief guest
- Request the Chief Guest to address the audience
- Depending on the time schedule, continue with some entertainment programs
- Introduce the owner/MD, felicitate him/her
- Request him/her to address the audience
- Wind up with a thank you to all for attending and an invitation to all for dinner

The sequence and inputs would have to be worked out by you. I suggest you have some more team members to ensure you have more inputs as well as additional helping hands to coordinate.

Thank you, Mr. Jacob, for reducing my workload by 50%. I have some doubts:

1) How should the chief be honored - only by a bouquet or is there anything else?
2) What kind of dances should be included?
3) Is there a specific color code for female staff since all men are instructed to wear their uniform with a tie?
4) We will have a stall for drinks and soft drinks; how should this be managed?

If you have samples of a welcoming speech, a guest of honor speech, updates on the company's history, or a vote of thanks, could you please provide them to me so that I can prepare?
