Hi,

I'm working as an HR in charge of a software development center in Kolkata. Attrition is one of our major concerns. I want to start an employee referral system. Can anyone tell me what I can offer my employees if they refer a good candidate? People with experience, please help.

Hi,

First, create an email ID that will symbolize the referral bonus program in your organization, and a logo if needed. If there is no budget constraint, you can introduce a referral bonus in cash or kind to your employees. Send an email to all employees with the requirements detailed in an Excel sheet, stating that this is a special requirement and they will be rewarded. Keep a timeframe for the referral emails to be sent. Draft a nice email with some pictures symbolizing friends together. Use quotes like "Bring your friend here" or "Join your friend for coffee in your workplace," etc.

Later on, you can also add that if an employee brings 2 referrals in a month, special recognition can be given with a gift voucher in addition to the bonus amount. For 3 referrals, 4 referrals, and so on, as per your company's budgets.

Company Name Employee Referral Policy – 2007-08

The scheme is effective April 1, 2007 and is applicable to all candidates joining after this date. The scheme is applicable to "full time positions" only.

All employees in company name, are eligible to participate in the Scheme except employees in E02 and E01 Grade.

The Scheme

For every joining through referral, the employee referring the candidate is eligible for the following benefits: -

For positions: -

Referral Category RelevantExperience Referral benefits

For All employees

Category I Management Staff (Marketing / HR) As required INR 6,000

Category II Sales Engineers Equal to & Above 25 months INR 8,000

Category III Service Engineers Equal to & Above 25 months INR 8,000

Category IV General Management As required INR 3,000

Award Policy:

1. Employees from any location can refer candidates.

2. The referral program is open to only employees of company name and is applicable to "full-time & on payroll positions" only.

3. All candidates who have received an offer from company name can also participate in the scheme. However, the referring candidate must be on the permanent rolls of the company at the time of joining of the referred candidate to be eligible for the referral benefits???

4. Under this program no benefits will be credited for referring Freshers, Campus hires, Candidates with 12 months and less relevant experience and Contractors.

5. The award will be paid to the employee subject to the condition that the referred candidate works with the company for a minimum period of 90 days.

6. Both the employee entitled to the award and the candidate who joined company name should be on the rolls of the company at the time of disbursement of award. Referral payment processing will happen along with the payroll processing for the month.

7. The currency of payment will depend on the payroll location of the employee at the time of eligibility of the referral benefits. The rate of conversion will be the prevailing exchange rate. (For Out of India Recruitment)

8. Whenever net salary is paid to employees, provision for taxes at the rates prevailing at the time of payment, will be deducted from the referral payout.

9. All referrals to be made online in Career Link (the Employee Referral System) only. No credit will be given for referrals outside of career Link except permission granted by HR dept..

10. Inviting candidates to post their resume will not be deemed as a successful referral if the resume is already available in the company name Recruitment Database or the candidate has posted the resume not using the Employee Referral System.

11. The candidates must have more than 12 moths of relevant experience in the relevant Geography. However if the candidate is ready to relocation without additional incentives, then it shall be deemed to be considered as Employee Referral.

12. Employees will get the credit for the referral only if their Online Employee Referral System reflects them as the source of the referral.

13. Credit for referral of a candidate will be given to the employee for a period of SIX months from the date of posting the candidate's resume. After SIX months, the resume will be deleted from the database if not under process, and the employee will not be eligible for referral benefits.

14. If duplicate referrals occur, the first referral received (based on the date of submission of resume) will be eligible for payment.

15. Employees should not refer candidates who have attended interviews with company name in the last SIX months and are rejected for whatsoever may be the reason.

16. All employee referral payouts are taxable as per the prevailing tax rates in the country of payment. Taxes will be deducted as per instructions from Accounts Dept.????

17. In case of queries / problems regarding any related matter of this scheme, management discretion will be the sole.
