Dear All,
Greetings for the day...!!!
I am working with one of IT company for the post of HR Executive in gujarat. We have found that many employees are use tobacco and smoking in our inside office. My manager says that send a warning letter to all employees for smoking and tobacco use.
Please drop any sample of this type of letter.

Instead of giving letters to individuals first give following to department heads .
Date
To: Employee’s Name
From: SHE /HR
subject : tobacco and smoking Policy Violation
Company policy prohibits tobacco chewing/ smoking in all indoor areas or public places and places of employment.
It has been brought to our attention that a person in your department is violating this policy . Specifically
the complaint concerns Mr.*******, Mr. ******** who was smoking in (location on date and time).
Violations of these rules may be punishable in terms of fine . In addition, the violator may be subject to disciplinary action by the company.
Please speak with your team members and remind them of our tobacco and smoking Policy.
Your cooperation in this matter is greatly appreciated.

Dear Dhruv
As per a legal views we must circulate the circular regarding the prohibited area in which we can't use the smoke and Tobaco in the premises. we must define a area for its purpose . we have to mention that management will take strict action if any violation it . Then we can issue letter Individually ( advisory , warning ) .
So , I suggest you please to circulate a circular regarding it in such language that most of person easily understand then take further action .
