Dear nm2004hr, Please refer to your reply to the above-mentioned post. I would not like to find fault; however, I noticed the following anomalies in your memo:

a) While writing the memo, you should be clear about when the employee proceeded on leave, i.e., you should mention the date since which the employee has been absent.

b) When you write a warning letter, it is assumed that the warning itself is a punishment. In the warning letter, you cannot ask for an explanation. If you ask for an explanation, it becomes a show-cause notice. Otherwise, give the heading of the letter as "Unauthorised Absence."

c) You could have brought clarity in your draft by writing "Your absence from your duties from ____ (date) is misconduct under the provisions of Section ____, Paragraph ____, Clause ___ of approved and certified Standing Orders" OR "Your absence from your duties from ____ (date) is misconduct under the provisions of Paragraph ____, Clause ___ of the appointment letter dated ____ issued to you."

d) Your last sentence reads, "Kindly treat this as very urgent." Since in the preceding paragraph you have mentioned when the respondent of this letter should reply, this sentence is not required. Moreover, the word "Kindly" has no place in correspondence related to discipline or indiscipline.

The above corrections are made in your best interest and are not meant to offend you.

Importance of Written Communication in Employee Management

Talking with an employee is not sufficient. The discussion has to be recorded, and follow-up written communication is important. In India, only written communication is deemed valid, and this is the sole means available to protect oneself should a delinquent employee file a lawsuit or approach the labor office.
