Hi All,
My Organisation will have a client visit from the US. So, I have been asked to send a mail to all Staff asking them to be attired neatly, to keep their workstations clean, etc. Kindly help me in drafting a mail like what are the important points to be mentioned, etc.
Thanks & regards,
Subhashini

Hi
Your email should highlight the following:
Importance of the client and the need to project a professional work environment.
List out the key things to pay close attention to including the following
-Appropriate attire (no Tshirts/ jeans/ sneakers)
-The need to be well groomed ( clean shave must for those who don’t sport a beard)
-Keeping work stations neat, orderly and clean
-Ensure that desk top screen savers are professional and not displaying jazzy stuff
-Adhering strictly to office in timings
-To behave in a professional manner at work (no shouting, tone to be kept lower) when interacting with the guests (politeness, smile)
-To ensure that that the rest rooms are kept clean and to ensure that housekeeping keeps it in order
It is important that the same set of rules continue long after the guest have gone but the above suggestions be more vigorously implemented when there are guests.
Best Wishes

Few more suggestions
Inform your team that no kind of leaves ( for un urgent & unimportant )
Make sure that your team has to come on time to the office. ( Tell them that late coming policy will not consider during the client visit) will be granted during the client visit.
