Dear All,

My superior has just asked me to prepare a circular for all the staff regarding punctuality in office timings, i.e., check-in and check-out timings. Despite several circulars to the staff here, no one is actually following them. However, my boss intends to keep the circular soft and not too harsh. Can somebody help me in making a gentle circular?

Thanks for your response. I'm a new joiner to my current company. As you mentioned, I have prepared the following draft, but it still needs to be more gentle and come across as a request from the management's perspective.

Firstly, we would like to thank all the staff for their continued support provided to us until now. However, it has been brought to the management's attention that there are certain irregularities in maintaining punctuality. Therefore, all employees are hereby requested to strictly adhere to the office timings (7:30 am to 5:30 pm). The office timing commences precisely at 7:30 AM, and everyone is expected to arrive at the office on time or at the latest by 7:45 AM. Any employee who arrives after 7:45 AM will be marked as half-day absent, effective from xx/xx/xxxx onwards. This policy is to be strictly followed by everyone. Your cooperation in this matter is appreciated as it will contribute to a healthier working environment. Kindly ensure punctuality.

The work timings followed by the establishment are -- to -- hours from Monday to Saturday. All employees are requested to strictly adhere to the laid-down timing. Employees who come late will have to take half-day casual leave. Your cooperation is solicited.
