Hi All:


i was searching for some Attendance and Late coming policy,which i could include in our company manual, but dint get anything revelant..so prepared something...


hope its useful for some else too...so sharing..


Here you go..



Attendance Policy
a.Regular attendance is essential to the Company’s efficient operation and is a necessary condition of employment. When employees are absent, schedules and customer commitments fall behind, and other employees assume added workloads.
b.Employees are expected to report to work as scheduled and on time. If it is impossible to report for work as scheduled, employees must call their manager and HR department before their starting time.
c.Office Timing is 10:00 AM - 7:00 PM
d.Late coming is permitted till 10:30 AM, if employee is coming after 10:30 AM, then it would be considered as late arrival, and two late arrivals in a month will be considered as a one half day leave.
e.One late arrival a month is permitted, if employee is getting late for some genuine reason, as a warning/grace period. (Employee should inform HR department and his manager about the late arrival.)
f.Per half day ½ of leave, employee’s one day half salary will be deducted.
g.Leaving Office before scheduled time needs permission from respective Manager.
h.Leaving Office before 6:00 PM, will be considered as Half day leave.
i.If employee is working extra hours, more than 8:00 PM, he needs to take permission from his manager.
j.Manager is responsible to answer, if his respective team member is working late beyond 8:00 PM.
k.It is expected from every employee, arrive office on time, complete their work and leave at scheduled time.

Hi Prosenjit,

First of all, prepare HR processes (e.g. recruitment, induction, new joinee formalities, training, appraisal, exit, employee motivation, attendance, salary)... and then prepare a checklist on how you will track whether the process is followed properly.

For example, I am providing you with a new joinee or induction checklist. I hope it helps you. So, go ahead with preparing processes for various HR functions (like recruitment, preparing JD's, recruitment reports) that you do in your company.

Hi,

I am Rupa. I am also searching for the late coming and early going policy. In our organization, we permit 3 instances of late coming in a month with prior approval before the reporting time. If an employee comes late for the 4th time, one day's salary will be deducted. Now, the management is asking me to set the policy for late arrivals on the 5th and 6th instances to control tardiness.

I am in need of your suggestions.

Thank you for the feedback, but let me share my experience.

I am George, functioning as GM-Admin in a manufacturing company.

Our existing rules are as follows: As per the current practice, many latecomers are accommodated, leading to a loss in production. The deduction of 2 hours from casual leave as a punishment seems inadequate.

I kindly request advice on altering this current rule in place.

"Workmen shall face exclusion if they are more than five minutes late for duty on a particular day. However, if a workman is late beyond 5 minutes for the fourth time, and depending on work exigencies, the In-charge of the shift, Departmental Head, or concerned officer may allow the workman on duty at their discretion, with a deduction of 2 hours from their casual leave or wage deduction as per the provisions of the Payment of Wages Act, 1936. Latecoming beyond half an hour will be permitted only in urgent work-related situations and at the sole discretion of the Dy. General Manager. In such cases, the total deduction from casual leave will be 2 hours plus the time of the worker's late arrival."

Hi,

In our organization, we permit only 3 lates per month, and from there, every late will be considered as Half-Day Leave. The late grace period is only 5 minutes from the scheduled office working hours. All late arrivals must be communicated beforehand, and it is mandatory. Late arrivals beyond 30 minutes or early departures before 10 minutes will be treated as Half-Day Leave. If the employee doesn't have sufficient leaves in the account for the deduction purpose, then the same will be calculated as "Loss of Pay."

In our organization, a 15-minute grace period every 16 minutes will count as 1 late. Three lates will be adjusted from casual leave balance first, then sick leave balance, and finally annual leave balance. After 11:00, we will consider half-days, which will be deducted from the remaining leave balances as mentioned above. If the remaining leave balances are insufficient, the deduction will be made from the salary for the present days.
