I have a query related to the company letterhead that we use to give the offer letter to the new employee. During background verification, I have seen an offer letter on a Xerox copy of the company letterhead, but the authorized signatory is original. Can we consider this letter as authentic?

In my personal opinion, it will be valid. It's the same as when we have photocopies of our academic certificates duly signed by a gazetted officer. It will work the same as the original. So, in the same way, you can consider it, but only if you have an authorized signature stamp on the photocopy. Because the signature, you don't know exactly if it is that of the authorized person or not. However, if the authorized signature stamp of that company is there with the signature, then it can be trustworthy.

To make it clearer, you can send an email to the HR person of that company. Attach the scanned copy of this document in that email and request them to acknowledge the same. You can get the ID of the HR person from their company's receptionist or by calling the candidate. They will provide you with the information.

I had a similar experience with one of my employee's future employers. I acknowledged the mail and assured them that the document was duly signed by me. This way, it is now safe for the verification agency because they received a reply from the company's authorized email ID.
