One of the ex-employees is rejoining the organization, so I need to send a welcome email to all the employees welcoming him. Can anyone help me in drafting the email, please?

Also, what should I keep as the subject line?

You made my day! I have managed re-hires, but lacked your interest to formalize it with such an honor. I can't offer you a format, but here's the experience that I gained.

We didn't include the complete Induction Program. Areas including machine learning, such as how to use SAP to request leave or claim reimbursement, were excluded from the Induction program for them, as they already knew it. We used to formally inform the leaders. Most of them would already know they are rejoining. Hence, a call for an informal hurdle or ungrouping rather than any formal process.

What we primarily aimed for through this was identifying the skills the employee brought in addition to what they had already learned. For a few verticals, such as Business Analytics or development in specific skill sets, they used to call for a presentation by the employee. This was primarily to gauge the new information the employee is bringing back and how it can be utilized in the existing systems. This was to be attended by a focused group.

A leader who used to head a Business Unit once told me that re-hire is the ultimate win as to why we form an employee alumni. Congratulations to you and your organization on this. Wish you all the best!

I cannot provide you a draft since I never was in such a situation during my tenure. However, my views, in addition to what Mr. Negi said, are as follows:

1) The letter should be a mix of formal tone and personal touch. It means that while expressing your excitement about welcoming him back, you should not go overboard in appeasing him, as the company also deserves credit for its image when it is able to win back its ex-employee. No one would consider coming back to a bad company. I feel it is advisable to refrain from using language like "we have been missing you since you left," etc.

2) You can mention that the company is looking forward to his contribution in specific areas or express that it is great that he is renewing his partnership with the company in its progress, etc.

3) You can wish him a successful career in the company while concluding the letter. It should be brief but reflect the soul of your gesture.

Expecting contributions from other members too.

Hi Rachna,

Indeed, it is very exciting to bring aboard a person who has already served with us for a considerable time. This is not only exciting for us but also for him/her.

As mentioned, they might be aware of the normal proceedings and routines that we follow, so there is no need to focus much on that. However, if there have been any policy changes since the person left, ensure that those are communicated.

On his/her day of joining, you can gather the team members (whom he worked with previously) in the conference room, canteen, or another suitable area to give a grand welcome. If they are to work in a different team now, you can invite a few members from the new team as well. Such an informal introduction would lead to a better welcome, greater acceptance, and alleviate any fears about how the team might react.

Consider decorating his/her desk or placing a welcome back card or something similar on the desk. You could also include chocolates or sticky notes with personalized messages from colleagues.

Make the welcoming process a little personal. A personal touch always helps :)

1. A note of welcome.
2. Major changes and achievements since the person left.
3. Mention a few old colleagues' names who are still with the company.

It will also depend on the time gap between leaving and rejoining.

Hi,

The new joinee in the organization seems very nice!

The following can be done:

1) Send out an email to all informing them about the new joinee, including his experiences, hobbies, etc., and what he has done before in this organization.

2) Conduct an induction session again if there have been changes in the company's policies, and explain the do's and don'ts to him.

3) Attach his photo and send it to all employees so that those who don't know him can also view it.
