ID Card Compliance Issue

Our organization has provided ID cards to employees. In this regard, we have mandated wearing the ID card for everyone. However, some employees are not following the system. Please advise me on how to address this issue. Additionally, could you please provide me with information about the ID Card Policy?

You can check all these things in the policy of the ID card. The policy should comprise the duration of renewal. Whatever suits your requirements, you can fix the time frame. The duration of the validity of the ID card varies from 3 to 5 years. You can select different colors depending on your company's climate.

Lost ID Card Procedures

The next aspect is, what to do if the card is lost? This includes penalties and filing an FIR.

This is not only your organization's problem; most other organizations face the same issue. Therefore, I have some suggestions below that I hope might be useful for you:

1. Ask the security guards at the main gate to request staff to show their ID card when entering the office.
2. For staff without an ID card, they should register themselves as visitors.
3. During the senior management meeting, emphasize this issue to all senior members so that they can implement these rules in their respective departments.

Think about whether such a policy is really required. Why introduce unnecessary bureaucracy if it does not serve any real purpose? However, if your organization is really large (say, thousands of people) and several individuals come and go into your office, which has several sensitive areas where you might not want any outsider to go, you probably would need such a policy.

In that case, send out a communication to the employees explaining why it is important to wear ID cards throughout the day and convince the top management to help you implement it. Leave the extreme measures to the last.

Some of our employees are not displaying their ID cards. I have informed our Sales Manager to address this issue, but she never follows the rules. We have already informed everyone that those who are not wearing their ID cards will be penalized by Rs. 50, yet no one takes it seriously.

Suggestions for Implementing ID Card Rules

Could you advise me on suggestions to implement the rules or on drafting a warning letter for those who are not wearing their ID cards?

As one of the members said, if your organization is huge and the influx is high, then the display of ID cards should be a must. The best way to implement the same is by leading by example.

1. Convince your senior management to display the ID card in the first place. If the senior management displays the ID card, then the person displaying the ID card has a moral right to ask the other person for the reason for not displaying the ID card.

2. Put up a general notice requesting all employees to display the ID card at all times when on the premises, stating the reason for doing so.

3. Fines and punishments will not work well, as employees will always point to the senior management who, if not complying with the guidelines, are normally let off.

ID cards will have one major benefit apart from the benefits mentioned by Mahavir Singh, that is, you will be complying with the requirement of the law. Labour law, i.e., the Factories Act, Shops and Establishment Act, Contract Labour Act, and even Standing Orders, require an employer to issue Identity cards to its employees. So, the biggest benefit to the organization by issuing an ID card will be that the organization will be following the statute.
