My director wants to have a meeting with each department every day, where he will be discussing all the roadblocks employees might be facing or suggestions they may have, etc.

So, I need an email format to inform my staff about this department-wise meeting and also want to tell them to keep the list of issues ready and confirm back the appropriate timing for the meeting as per their suitability.

Can anyone please help me with this? It is very urgent.
