Dear All,

What is the difference between 'Show Cause', 'Memo', and 'Warning Letter'? Also, besides these three, are there any other formal/official letters that can be issued to employees for any act of misconduct? I request you all to provide me details on the same with sample copies of all such types of letters.

Dear Aashanna,

Memo - a simple letter of complaint regarding misconduct.

Show Cause - Given to a particular person based on the memo by specifying the misconduct and related Standing Orders under which section it falls. A specific time is given to provide a written explanation regarding the misconduct, explaining why disciplinary action should not be taken.

Warning Letter - If the preliminary inquiry and the explanation received against the Show Cause notice are unsatisfactory but the level of punishment is not severe, a warning letter may be issued to prevent the recurrence of such misconduct in the future.

Hi Ashana,

SCN is nothing but giving a reasonable opportunity of being heard to the chargesheeted employee to cite reasons of the charges as alleged against him vide the SCN. Normally practice is giving 72 hours for his reply. If the delinquent employee fails to respond to this show cause notice within the above specified time, it will be construed that he has no explanation to offer and the matter will be proceeded accordingly.

The reply to the SCN may be:

1. guilty
2. not guilty

Depending upon the gravity of the charge/misconduct, the award of punishment (Sensitization, Warning, etc.) is decided as per the company's malpractice matrix.

If the misdemeanor is so grave that could lead to termination, then following the principles of natural justice, an Enquiry Committee/Departmental Enq is constituted.

Now that I know the difference between a memo, a show-cause letter, and a warning letter, may I please request all of you to provide me with sample copies of each. I have been issuing these types of letters to employees under the guidance of my senior. However, I would like to review sample copies of these letters to identify any necessary additions or deletions to my current format.

Show Cause

It is alleged that you have (state here the nature of the complaint, date/place occurred) which resulted in (please state the consequences such as monetary loss, etc.) to the company. Please explain why action should not be taken against you in writing within 72 hours. Failing to do so will be construed as your acceptance of the charge, and action will be taken accordingly.

Warning: Ref: Our Memo No. dt.

We have carefully considered your explanation, which is not found satisfactory. However, you are hereby seriously warned, and any such occurrence in the future will be dealt with very seriously.
