I am currently being asked to write an Executive Vehicle Policy for my organization in the UAE. I would like to request the seniors to help me by providing a car policy sample or guidelines on how to create a policy.

You may introduce a couple of schemes so that schemes with more than one flavor can be launched. Here is a sample:

Scheme 1

• Applicable to specific grade/level executive cadre employees.

• The vehicle shall be either owned by the company or acquired on contract by the company and shall be provided to the employee for their use while in service with the company.

• Procuring the vehicle, registration, insurance, and applicable taxes (if any) shall be taken care of by the company.

• The employee shall take care of fuel charges, service, parking, maintenance expenses, and fines (if any).

Scheme 2

• Applicable to specific grade/level executive cadre employees.

• The vehicle shall be either owned by the company or acquired on contract by the company and shall be provided to the employee for their use while in service with the company.

• Procuring the vehicle, registration, insurance, and applicable taxes (if any) shall be taken care of by the company.

• The company shall take care of fuel charges up to $X, service, parking, and maintenance expenses (if any).

• The employee shall take care of fuel charges beyond $X, parking, and fines (if any).

Scheme 3

• Applicable to specific grade/level executive cadre employees.

• This shall allow the employee to use their own cars for official purposes.

• The company shall pay $Y per month towards car allowance.

• The company shall pay insurance renewal charges if the employee uses the car for official purposes for not less than 6 months.

• The employee shall take care of fuel charges, service, maintenance, parking, and fines (if any).

Scheme 4

• Applicable to specific grade/level executive cadre employees.

• The vehicle shall be either owned by the company or acquired on contract by the company and shall be provided to the employee for their use while in service with the company.

• Procuring the vehicle, registration, insurance, and applicable taxes (if any) shall be taken care of by the company.

• The company shall take care of fuel charges, service, parking, maintenance expenses, and fines (if any).

• The company shall pay $Z per month towards driver salary.
