Actions for Late Submission of Leave Cards

What actions are taken against employees who do not fill out the leave card (yellow card) on time? Every month-end, we encounter this issue while processing salaries. I would like to understand the rules and procedures that you, as an HR department, implement in such situations.

If the employee has not submitted the leave card with necessary entries and required approvals, then you have to deduct the salary to that extent. In addition to this, if the employee is not attending duty without intimation or at least regularizing his absence on the day when he reports to duty, then you can issue a letter for his unauthorized absence. If this continues for three times, then issue a charge sheet and organize a domestic inquiry for his habitual unauthorized absence. Based on the inquiry officer's findings, initiate actions like warning, suspension, stoppage of increment, demotion, and finally termination.

Understanding Employee Issues

As an HR professional, you should find out his problem in getting his leave regularized. In some cases, employees don't want to approach their immediate superiors due to their attitude, misbehavior with their colleagues/team members, rifts, etc. Before proceeding with disciplinary actions, you should understand the criticalities of employees and address them because no employee wants to lose their salary/reputation after having leaves to their credit and doesn't want to be an undisciplined employee in the books of the management.
