Dear Seniors,

We have an employee working as a Peon in our office who is very rude and misbehaves with all the staff and officers. Despite several verbal instructions, he has not shown any sign of improvement. We have decided to formally document this by lodging a strong complaint against him with the Management. Can anyone please email a suitable format and wording for making this complaint?

Thank you.

Dear escindia,

Welcome to CiteHR.com!

Do not worry about the format and wording of the complaint to the management (against a peon). If verbal instructions have not worked, try counseling. Also, find out to whom he reports/ is attached, his length of service, reputation, etc. Many old-timers acquire this kind of attitude, especially if they are attached to very senior persons; however, they can be won over by empathy and fair treatment.

Warm regards.

This reminds me of an incident that my friend had narrated over 50 years ago. A person who had looked after the MD of a company was employed as a peon in the company. When a manager told him off for something, the peon told him that he would complain to the MD and dashed off to the MD's office. Without following any protocol, he barged into the MD's room where a meeting was being held and complained to the MD in singular.

Not that the peon was arrogant, but he did not know the proper way. We can provide better advice if we know what you mean by "rude and misbehaves." In the absence of such information, please follow Raj Kumar's advice.

Have a nice day.

Dear friend,

If your peon is an uneducated guy, it's better to talk to him in English and ask him to reciprocate in the same language. Define a protocol and portfolio for the peon so that he shall abide by the same. It is time to avoid such kind of posts in the industry; it is a legacy carried forward from the British Raj.

Thank you, Ashish, for the format. It seems to be the best fit for my situation. However, could you also assist me in drafting a communication to bring this matter to the attention of management and obtain their approval before issuing the warning notice?

I think that it would be appropriate to bring the matter to the management’s notice and take their formal permission to issue warning letter. Best regards
