Dear Seniors,

I have a simple clarification required on the issuance of a salary certificate to one employee for his personal loan. Initially, I provided him with a salary certificate with the bank name as per his request. Now, he is requesting that the salary certificate needs to be changed so that he can submit it to other banks. Can I give him the salary certificate by changing the bank name? He is also requesting two copies of the salary certificate to submit to two different banks. Your valuable suggestions are appreciated.

I am considering giving him the salary certificate with the bank name changed. However, before confirming, I need your valuable input. Please help me make a final decision.

Dear Soja,

Any certificate you issue to the employee should strive to be neutral (for common purposes). Therefore, you should avoid mentioning the name of any bank or other addressee. If the bank requires validation, they will seek confirmation from you before sanctioning any loans, etc. There is no issue with issuing a second certificate; however, to err on the side of caution, you may consider stating "issued for the purpose of ...........".

Nevertheless, you cannot accommodate every request for such certificates repeatedly. This matter is not significant, and you can base your decision on your philosophy and workload.
