Dear All,

Our's is a small company/development center, consisting 18 developers and 4 non-technical staffs. The company owner operates from US. I report to him directly regarding all HR & Administrative issues. We decided to arrange evening snacks for the employees who stays till late 8.30/9 in office. There are 10 employees who used to work for long. (our ofc timing is from 9-6). But since this snacks has been regularized, the number of employees has increased who are staying late. Naturall we are now arranging evening snacks for almost 20 employees everyday. We have an approved budget of 30Rs X 10 employees = 300 Rs/day. But now as the number of employees has been doubled so the budget has come down to 15/day. This thing..is being ignored by some of the employees. They always placing there order to the office boy...taking 30Rs/head budget in consideration. This has been happening for last few days now. I have tried to communicate them personally explaining that we cannot exceed our daily budget (which is happening every day now) so I have decided to write a mail to the team, marking a copy to the management. Kindly advice what should be the approach so that both the parties are happy.

If you are getting additional productivity and profitability from people staying late (and you have the figures to back up your claims) then I would be approaching your owners first to ask them to increase the budget.
If you aren't able to show an increase in productivity/profitability, then share with your team members what it is costing the company to provide the snacks and how in order to fund it, you need to be able to share with the owners that it is a self-funding program.
Something that most organization's don't do a good job of is helping people to think like business owners and understand the big picture in terms of the need to be cash flow positive in order for the business to be sustainable for the long term.

Thanks Shelly for your suggession. I have talked to the management.. they r not ready to increase the budget.
And in terms of productivity.. ppl staying back off late.. (those who started recently) spent most of the time gossiping and taking fag/tea breaks in late evening...so productivity hardly matters for them.. they r the one who were actually creating problems..
However I have sent all employees mail explianing them that the budget cannot be increased (i.e the management's decision). And since then so far.. ppl who r placing order for more than 30 RS are adding the excess amount themselves.
And..more surprisingly those fellows are not staying back till late now..
So things r settled now.. :)
