Hi all, I would like to configure my attendance software as follows. Please suggest whether it is right or wrong. If not, recommend the best timing to be followed in a corporate office.
If an employee works:
- Less than 3 hours, mark as absent
- Between 3 to 7 hours, mark as half day
- More than 7 hours, mark as present.

Generally, late attendance is discouraged in workplaces. However, there are occasions beyond one's control, such as traffic snarls or emergencies, especially when commuting in places like metros, resulting in employees reporting late to the office. Where a biometric or magnetic card punching system is in use, administering attendance becomes easier. However, if it's a manual system, there are grey areas. It's one's own choice to be dealt with according to the standard operating procedures (SOPs) of the employer. There should be a maximum number of minutes allowed late in a day and a limit on how many times one can be late in a month. Being 10-15 minutes late once in a month may be excused. For more than one occasion, a proportionate salary deduction or half-day leave deduction may be applied. However, for those who are habitual latecomers or repeat offenders, stricter rules should be enforced, including salary deductions or debiting leave accounts. Habitual latecomers will be referred to the disciplinary mechanism and punished according to the SOPs.

1. For the first instance in a month, up to 10 minutes late will be ignored.
2. If repeated in the same month for the second time, an oral warning will be issued.
3. If repeated in the same month for the third time, salary will be cut for half a day proportionately.
4. If repeated in the same month for the fourth time, one day's leave will be deducted from the employee's leave account.
5. Upon repeating lateness thereafter, a warning letter will be issued.
6. The individual will then be referred to as a 'habitual latecomer' and disciplinary action will be initiated, including suspension and other specified punishments.
You are free to establish your own benchmarks and measures, with the flexibility to update these regulations in your Standard Operating Procedures and Conduct & Discipline rules.
