Hi Seniors, I would like to confirm, "Do we need to get registered with the PF Office in every state if we are operating from multiple locations? We are already registered in Delhi but operating from Gurgaon, Haryana. Should we go for PF/ESIC Registration in Haryana also? Kindly advise on this.

Thank you.

Registration Requirements for Branch Offices

Separate registration is not required for the branch offices. Whenever a branch is opened, intimation to the PF department through a covering letter (1+1) is sufficient. PF contributions of all employees (HO + Branches) should be paid at the HO place itself.

Correct and complete advice on your post is as follows:

Registration Requirements for PF and ESI Across States

Your establishment in Delhi is registered under PF and ESI. You are operating from multiple locations in multiple states. You want to confirm whether you need to register your establishment under PF & ESI in every state.

The answer is no. But for administrative purposes, you can apply for a sub-code under the main code for both PF and ESI at each location if one location is far from another or in a different region. An ESI sub-code is necessary to avail cash benefits by employees from the local branch office.

Please follow Keshav's advice on ESI. For PF, it is not necessary to have multiple accounts, and the central account would suffice.

Benefits of Having a Sub-Account for ESI

Having a sub-account for ESI not only facilitates members in getting cash benefits but also helps in availing their medical benefits. The most important benefit is that it will ensure accident benefits in case an employee is injured or dies in an accident arising during the course of employment. The pension available to the deceased's heirs is fair and useful. Besides, it absolves the employer of the liability under the Employees' Compensation Act (earlier known as Workmen's Compensation Act).
