How to Handle an Employee Leaving Without Notice: Seeking Email Advice and Templates

Respected seniors,

Please suggest to me - one of my employees has left the organization without serving any notice period (he was a Permanent employee). Before leaving the organization, he dropped an official resignation email mentioning today as his last working day and that he would not be serving the notice period. Subsequently, I tried to reach out to him, but he did not answer my calls or messages.

Kindly advise me on what kind of email I should send. Please share the email templates as well.

Procedure for Handling Abandonment of Employment

This is a case of abandonment of employment. Follow the procedure below:

a) Send a notice to the employee's last known address regarding their unauthorized absence.

b) If the absconding employee fails to report for duties, order a domestic inquiry. If the employee does not appear for the inquiry, order it a second time. Send the communication through Registered Post and retain the office records properly.

c) If the employee fails to appear for the inquiry even the second time, your management can make an ex parte decision to remove their name from the company's rolls.

d) If the employee is in possession of company property such as a laptop, mobile phone, etc., direct them to return the company property when sending the notices.

e) If the employee fails to return the company property, lodge a police complaint. However, ensure you have sufficient evidence of the property transfer from the company to the individual.
