How Should We Prepare a KPI Report for Business Improvement in Healthcare?

An auditor asked us for a report on KPIs for business improvement. How should our report be? This is a healthcare company with 150-200 employees. Kindly suggest.

Dear Anthony, please provide further clarification on your post. What type of audit is this? Have you hired an external agency to audit your organization? What is your designation? Are you from HR? If you are from HR, then how come you are associated with the report on business KPIs? It is the job of the MD.

Is the audit agency not expected to know the KPIs for your organization? The auditing agency's job is to carry a checklist and ask for the relevant records. Based on the records provided, they are supposed to identify any discrepancies or non-measurements. The three KPIs that I have provided in my previous reply, are these not business KPIs? You may provide a report on those KPIs. What the hold-up is not understood.

There are so many questions associated with your post. Please clarify.

We are in the process of accreditation similar to ISO. They have asked us to submit the "KPIs to monitor the performance of the business." How should the reports be given to them?

Hi, you said you have KPIs laid out for your firm. In this case, you may also be generating performance review reports based on these indicators. These reports may be prepared according to the formats issued by the accreditation agency conducting audits.

We don't have such reports as we are not accredited yet. If you or someone has in the forum and can share the sample reports, it would be a help for me.

Dear Anthony,

KPIs related to the business are always customized. For this, an external consultant needs to study the systems and processes of each department and identify vital aspects of your business. KPIs are also devised from the current market scenario, industrial practices, automation, etc. Therefore, you may hire an external consultant for this. Why would anyone provide anything free of cost to you? You may try Google, but please note, the essence of measurement lies in measuring what deserves to be measured. Therefore, you may end up scratching the surface, which may not serve the purpose of your organization.

Anyway, if you are interested, you may arrange a telephonic discussion with the MD of your company. I will devise such a PMS for you that you will not have to hire an external agency at all.

Implementing the key performance indicators of a balanced scorecard typically includes four processes:

1. The company translates its corporate vision into measurable operational goals that are communicated to employees.

2. These goals are linked to individual performance goals, which are assessed on an established periodic basis.

3. Internal processes are established to meet and/or exceed the strategic goals and customer expectations.

4. Finally, key performance indicators are analyzed to evaluate and make recommendations to improve future company performance.
