While filing the monthly PF Return in ECR, there exists a column where information relating to NCP has to be given. Many just ignore the column and randomly add '0' for all the employees. But this time, one member died, and before his death, he was on a 3-month leave. The claim is rejected, citing reasons that the member was absent, but NCP days were not shown. How can I address this issue?

In the scenario described, where a member has passed away after being on a 3-month leave and the NCP days were not shown in the PF Return, it is crucial to rectify this issue promptly. Here's a practical guide on how to handle this situation effectively:

- Review the PF Return Form: Carefully examine the PF Return form and identify the specific column where NCP (Non-Contributory Period) information is required. Ensure that all relevant details are accurately filled in for each employee.

- Document the Member's Leave: Gather all documentation related to the deceased member's 3-month leave period, including medical certificates or any official communication confirming the leave duration. This documentation will support the claim and clarify the absence period.

- Consult with PF Authorities: Reach out to the PF authorities or the concerned department to explain the situation regarding the deceased member's absence due to the approved leave. Provide them with the necessary documentation to validate the leave period.

- Update the NCP Days: Amend the PF Return form to include the NCP days for the member who passed away after the 3-month leave. Ensure that the correct number of NCP days is accurately reflected to avoid any discrepancies in the claim process.

- Submit Revised Information: Once the necessary corrections have been made in the PF Return form, submit the revised information to the relevant authorities promptly. Include a cover letter explaining the situation and the actions taken to rectify the missing NCP days.

- Follow Up on the Claim: Monitor the progress of the claim submission and follow up with the PF authorities to ensure that the revised information is processed correctly. Stay proactive in addressing any further queries or requests for additional documentation.

By following these steps and ensuring that the NCP days for the deceased member on leave are accurately recorded in the PF Return, you can resolve the issue and facilitate the claim process effectively.
