i want to write a mail to all staff like without information leave don’t take atleast inform by call or sms to respective department.please help me to write mail with correct sentence

You may prepare the draft on your own and upload it here. Some seniors, like me, will correct it. What is your designation and what is the nature of your industry? What exactly is the issue? Are employees in your company absenting all of a sudden without information? Do you have a policy on employee leave, and if yes, have you mentioned the procedure on how to avail leave?

Lastly, about your post. You could have been a little more discreet while writing your post. There is no difference between the heading and the body of your post. You could have observed how other members write their posts. Asking for a draft of the email, and that too anonymously, is as good as taking seniors for a ride. Certainly, this is not acceptable!

I am an HR professional. One employee took leave today, but she did not inform anyone. That's why I want to send an email to everyone. The email should remind them that if they are unable to send an email on the previous day, they should at least inform the respective department or HR by call or SMS.

Importance of Communication in HR

    In the Policy on Employee Leave, the procedure on how to avail of leave has been mentioned explicitly. Nevertheless, recently there was a case wherein one of our team members absented from duties without any information.     Dear Roopa, the members of the forum have supplemented the ideas to be followed. It is evident from your post that there is no policy or rules being followed for availing leave, and the staff are taking leave as per their wish and whims. I hope you will agree with this observation, and as an HR professional, you have a lot more to do. In view of the above observation, I would like to suggest the following:

    - The role of HR is not 'leave sanctioning' but rather to keep records.
    - The respective department heads are the leave sanctioning authority for their line staff.
    - An employee can only avail leave when their leave has been sanctioned by their department head.
    - Always use a leave application form and accept it only when leave has been approved by the department head.
    - If you do not have any leave policy, this is the best time to create one. Our learned colleague would be happy to guide you if you wish. A copy has been attached for your reference when drafting a circular.

    I hope these suggestions are helpful for improving the leave management process in your organization.
