Hi,

I am an MBA student making my final year project. The topic I have chosen is E-Separation, i.e., an automation system for the employee exit process. My role in this project is that of a Business Analyst. I have received enough data from the company to proceed further, and hopefully, it will go well. However, my major concern is creating documentation for my college, and for that, I am unable to find enough data for the introduction. The data provided by the company is for the project description.

Kindly assist me in completing the introduction part and provide me with some documents for the same. I specifically need a document for the employee exit process.

Thank you

Look, a SOP is a STANDARD OPERATING PROCEDURE.

Let us take this as a process document.

SOP for Employee Exit Process:

The employee, after discussing with his manager, submits his resignation to the manager.

The manager should put his comments on the resignation letter and forward it to HR (these comments can be "To be relieved by dd/mm/yyyy," or some other special comments).

Upon receipt of the resignation letter, HR enters in the software the date of receipt of the resignation letter, terms and conditions of resignation if any special conditions exist, and the manager's comments. The payroll changes are made accordingly as per the relieving date decided. The software generates the receipt of the resignation letter along with a no-dues format, with the employee's name, roll number, and department already preprinted on the no-dues format.

These letters and formats are handed over by HR to the employee along with details of PF transfer forms, withdrawal forms as applicable. All the payroll changes and PF changes are scheduled to take action on the relieving date in the software.

HR prepares the relieving letter and gives it to the manager for suggestions/comments. The relieving letter is kept ready.

Usually, before or on the relieving day, or some 2 days prior, the employee submits all no-dues and other forms to HR and receives the relieving letter.

This process needs to be electronically processed with specific forms and formats and linkages to payroll.
