What exactly do you wish to do ?
you want to make the salary statement or you need to prepare the salary slips ?
What is the current method being used ?
For a 100 persons team you should actually consider a software that will take care of your payroll.
You can do it in excel, but then a small mistake somewhere can cause you a lot of problem
Mistakes in excel are difficult to identify in a large volume payroll

Hi All,
Thank you for your quick response. For caluculating the Salary we presently using the Excel Sheet and i will download the attendance from the Biometric. i need all the details like OT and Late Comings.

It does not make sense to me that your office has sophisticated systems like biometric, but are using excel for the payroll computation. I would advise you to opt for a payroll software instead.
The biggest problem with excel is that it can be modified and tampered with at any time. There is no trail of what changes was made.

Dear follower,

You have desired to know about a good pay roll system. Without going into much details, my suggestion is :-

1. Ask your system department people to develop a program for payroll. I understand that you are having a unique code allotted to each and every employee irrespective of his category/grade. If you do not have a separate System Deptt., hire some professional for the task to develop a program. Later on, you men can easily make data entry and bring results. Whenever, change will be needed, your System people or hired agency will come to help you. Better you enter into an annual maintenance/service contract, if hiring outside agency.

Fields : Employee code, Name, Designation, Actual Attendance, Sunday Attendance, OT Hours, Leave, Total days to be billed, Basic pay, DA, perks, Leave encashment, LTC/LLTC etc.......(all payable), Gross,

Now deductions : PF, Pension fund, I.Tax, House Rent, other deductions which are applicable (one field for each), Total deductions.

Net payable.

Allot one code for each field. Keep provision for adding/including more fields as and when needed.

Make sure that each and every payment is paid through Pay Roll System only thereafter, which is taxable. Reimbursement of TA, Medical Bills etc. can be paid through cash or through direct transfer to Bank A/c, as preferred.

By this you can safely keep the records of payments made to each and every employee during the year by year.

I do not agree with the concept of developing a payroll software
It is a very expensive affaire and costs a lot of money to maintain the software. It is not feasible for a small company.
Instead opt for a standard / ready software or even better if you get a SAS or cloud enabled software. Google for it and you will get options.
