Dear All,
What is the difference between 'Show Cause', 'Memo' and 'Warning Letter'?
Also, besides these three, are there any other formal / official letters that can be issued to employees for any act of misconduct?
I request you all to provide me details on the same with sample copies of all such types of letters.

Memo - a simple letter of complain regarding misconduct.
Show Cause - Given to particular person on the basis of memo by specifying misconduct and related to Standing order's under what Section it is coming. Specific time is given to give the written explaination regarding the misconduct that why the disciplinary action should not be taken against?
Warning Letter - on the basis of priliminary enquiry and the explaination recieved against Show Cause notice is not satisfactory but the quantum of punishment is mot major in nature, then warning letter can be issued for avoiding the repetation of that type of misconduct in future.

Hey Ashana,
SCN is nothing but giving a reasonable opportunity of being heard to the chargesheeted employee to cite reasons of the charges as alleged against him vide the SCN.Normally practice is giving 72 hours for his reply.If the delinquent employee fails to respond to this show cause notice within the above specified time, it will be construed that he has no explanation to offer and the matter will be proceeded accordingly.
The reply to the SCN may be :
1. guilty
2. not guilty
Depending upon the gravity of the charge/misconduct the award of punisment ( Sensitisation,Warning e.t.c. )is decided as per the company's malpractice matrix.
If the misdeamnour is so grave that could lead to termination then follwing the principles of natural justice a Enquiry Committee/Departmental Enq is constituted......

Now that I know the difference between memo, show cause and warning letter, may I pls. request you all to give me sample copies of the same.
I have been issuing these types of letters to employees under the guidance of my senior. However, I would like to know through sample copies of these letters if there are additions / deletions to be done in my format.

Memo: (to be given on minor negligence etc.)
Employee Name

It has been brought to Notice that you have (give here the nature
of complaint, date / place occurred) which resulted (here please
state the consequences such as monetary loss etc) to the company.
You are advised to be more careful in future.
Show cause
It has charged that you have (give here the nature
of complaint, date / place occurred) which resulted (here please
state the consequences such as monetary loss etc) to the company.
Please explain why action should not be taken against you in writing within 72 hours, failing which, it is construed that you have accepted the charge and action will be taken accordingly.
Warning:
Ref: Our Memo No. dt.
We have carefully considered your explanation which is not to be found satisfactory.
However, you are hereby seriously warned and any such occurence
in future will be very seriously.
