Hi,
We are into ERP Software Development services, planning to have III Shift/Night Shift resources in our company. Could someone please suggest for the shift benefits for Night Shift/Grave Yard Shift hours /10PM -7 AM)
-What are the allowances during this shift
-How much incentive we pay for a resource for complete night shifts
-Precautions to take care at technical front during night shift
-Benefits provided to an employee during this shift
-Rotation of the resources during this shift (biweekly, monthly or quarterly—which one will work better and motivating?)
Please share your views or company policy or rules for night shifts.
Thanks in advance,
Kalpana

You could look at the facilities provided by BPOs, which have the maximum number of people working at these odd hours. You could consider paying a reasonable amount of Rs. 175 per night shift if you do not include it as a separate component in the CTC itself.
It is best to implement a weekly rotational shift, as employees appreciate knowing that it will end quickly. Additionally, you should offer early morning breakfast/snacks to employees working at these hours and provide transport facilities (pick/drop), at least for female employees if not for all employees.
When it comes to technical support, ensure there is a staff member from the system admin team available to address any problems. Take additional precautions only when faced with specific issues.

Hi Kalpana,
The answer to your queries:
1. What are the allowances during this shift?
Your organization may have a separate Night Shift Allowance for such employees. The amount may vary from company to company, but what I feel is that this allowance must be the same for all profiles, whether Executive, Senior Executive, etc. For example, we have an additional fixed allowance of Rs 2K per month.
2. How much incentive do we pay for a resource for complete night shifts?
In my opinion, the incentive plan should be the same for all shifts for a particular profile/position. You may add just the allowance part for people working night shifts.
3. Precautions to take care of at the technical front during night shift:
All usual precautions that you have during day shift timings should be followed. Additionally, please ensure there are easily available means of transport during the night from your office if any employee wants to leave early during any emergency situation. Provide contact details for all emergency services, including hospitals and ambulances. Proper security arrangements should be in place, and if possible, administrative staff (based upon requirements) should be available to look after any issues and ensure everything is moving smoothly and supplies are adequate.
4. Benefits provided to an employee during this shift:
You may have any added benefits that your organization feels are necessary, and additional allowance is one of them. Transport facilities should be provided as it is difficult to commute during the night. Additionally, you may offer food/snacks, etc.
5. Rotation of the resources during this shift (biweekly, monthly, or quarterly - which one will work better and be motivating):
To work in night shifts, our bodies should get accustomed to the new biological clock, and that takes some time, depending upon the person. It may take a week, 10 days, or more. Sometimes, someone finds it very difficult to work in night shifts, mainly due to digestive problems, etc. In my view, we should not rotate shifts very frequently. You may rotate them not before a month, at least. Quarterly rotations (every 3 months) can also be considered.
MOST IMPORTANT: Please check about your permissions to employ a workforce at night. If your organization is registered under your state Shops and Establishments Act, your organization will have to take special permission to allow females to work in night shifts (if there are any of them working after 7 pm until 6-7 am). For this, there are many compliances, precautions, and safety measures your organization will have to take. Then, apply to the Female Welfare Officer to get such permissions.
